It is our pleasure to have you as a noted guest at the annual trading festival held by the Nanaimo Chamber of Commerce. Following our phone conversation, I am glad to confirm that all necessary arrangements for your visit from February 1 to February 2 have been made. Please, find hereunder a detailed schedule of your stay.
The lunch devoted to the annual trading festival will be held on February 2 at Best Western Dorchester Hotel located at the address 70 Church St., Nanaimo. The number of guests expected at the lunch is 30. These are business leaders and representatives of major international companies with branches in Nanaimo.
The President of the Chamber, Ms. Brenda Sully will deliver a welcome speech and then, introduce you to other guests of the event. I kindly ask you to specify what equipment you might need for your speech, whether there are any special requirements to the sound and lighting, as well as any other details that will make you feel comfortable during your presentation.
We have booked the return air tickets for you from February 1 to February 2 and a standard room for 1 night for the same period for you to have a rest before the lunch. Please, find the tickets and hotel confirmation attached. Do not hesitate to contact me, if you need any further assistance regarding the flight and your stay at the hotel.
My assistant, Ms. Laura Langley will meet you upon your arrival in Nanaimo and will take you to the hotel. Whereas, it is a late evening flight, we have arranged for a light snack at the hotel. You will be offered a choice of breakfast the next morning. If you prefer some special menu, please, let me know and I will check with the hotel, if it is possible.
The lunch will be held in the hotel conference room on February 2. The registration starts at 11:00 a.m. The expected duration of the event is 3 hours. Ms. Langley will gladly recommend local sightseeing attractions for you. If you have any specific places of interest you would like to visit, please, let me know. Please, find attached the list of possible itineraries I have selected for you. The payment for the air tickets, hotel room and meals have already been arranged by the Nanaimo Chamber of the Commerce. I hope you will enjoy your stay in Nanaimo.

Please, be informed that I have sent an email to Mr. Zhang Jianguo with all details of his visit, including his air tickets, hotel reservation, a detailed schedule of his visit and a list of possible sightseeing attractions to visit after the lunch. My assistant, Ms. Laura Langley will meet Mr. Jianguo at the airport and provide him with the necessary assistance during the lunch and afterwards.
Please, advise me as to the possible tablemates for Mr. Jianguo to make him feel comfortable during the lunch.
