It is through my sincere regard that I would like to share with you the feedback of thanks that have been given to our agency concerning the proposal we submitted for consideration to Federal Award Agency. They have appreciated you so much for you effort and sacrifice for drafting the proposal and putting your hope in them. Their detailed analysis and experience will have a great importance to our future progress and success.
I do wish also to pass the message of appreciation from the general police service in our city. They have acknowledged your existence and the effort you have made so far in your progress. They have observed that through your service, many cases of cancer have been diagnosed and treated. They also appreciate the harmony you have worked with in all activities they have associated with your agency. They therefore move a word of encouragement to you to maintain it as you continue giving service to Ohio and other citizens.
The grant award concerned the radiotherapy machine which our organization needed to use in diagnosing and treatment of cancer diseases. It is basing on the location of our Agency that the Federal Award Agency wanted to know whether there are enough cancer cases in Ohio to require this machine. They suggested that looking at cost benefits and statistical analysis on general coverage; cancer cases are few in Ohio than any other parts. I do inform them that it is through our commitment and dedication that we have worked hard to reduce this number. There is enough data from previous five years findings that indicate that there were high levels. Their award could be an additional and great boast to our effort.
The Federal Award Agency requested for some information on the anticipated future cancer cases. It is with my regard to inform that prediction reveals that in three years time there will be emergency of other forms of cancer such as cervical and breast cancer. This is mainly because of the diet many people are using that causes obesity in young children, use of alcohol, and their high exposure to cancer causing rays without protection. It is therefore advisable to consider such factors during their award of these grants.
Besides, I would wish to inform you that the Millennium Award Agency has potentially indicated to grant us this machine. Their only conditions are that we provide the data on the ten years we have been in operation. This data should have intensive details on the cases of cancer that have gone through our hands, how many we have managed to treat and which ones are more frequently diagnosed. It is therefore hopeful that we will work in unison to secure best proposal for this grant.
Finally I wish to personally thank Federal Award Agency for taking their precious time to go through our proposal. Their advise and encouragement is worthy as it will put us a mile in our service. I observe their view as an indication of great success on our side as well as theirs, I sincerely honor them.

Ref: Thanking you for Consideration
It was so grateful that you considered our proposal that we send to you concerning the grant of radiotherapy machine. The machine is one of the tools we need in the department of radiotherapy in Ohio Medical Practitioners Agency. Its availability could be a great boast for cancer diagnoses and treatment which is mainly the objective of our agency. Even though our request proposal did not go through, we still thank you because you have acknowledged our effort and promise to work with you in the future prospects of our Agency.
Ohio Medical Practitioners began in 20th May; 2008.Its main objective was to ensure proper diagnosing and treatment of cancer diseases. It was the idea of a group of Medicine Students from the University of Ohio who came together after realizing that there was need to offer their gained knowledge on cancer diseases to the community. It began at a time when there was high cancer cases reported especially breast cancer, cervical cancer, throat cancer among others. Their desire was to reduce and eradicate cancer from the society. Main goals were to ensure that every member in the community got informed on cancer and proper treatment and advice given to the patients diagnosed. The agency has managed to achieve some of its goals at least 65% and hope to meet the remaining percentage in the near future. This has been a recommendable progress considering the fact that the agency has been in operation for around five years.
We have been considering that if you do wish you are humbly invited to our Agency. You will actually enjoy the visit. We are located in a calm and busy environment that is so lively immediately you appear in its entrance. You will also be invited to see our structural set up in terms of operation as well as meeting our competent staffs. You will be taken through our departments to see how we operate in general and your observations will be highly welcome. There are also recreation places like swimming and arboretums where you can go and relax during your tour. We have arranged to provide you with lunch and a few of you who may not manage to go on time will be provided with accommodation. It will be an exciting tour and also as foundation for future good relations with you. You are therefore welcome.
I finally wish to again appreciate you because of your competitive process during the vetting of the proposals. We as the Ohio Medical Practitioners Agency understand that it was a hard task due to the large number of highly competitive Agencies who participated in the process with every one of them looking forward for the chance to acquire the grant. We believe that we performed to our level best although we did not come out as the best one. It therefore gives us a reason to say thank you so much since you allowed us to be part of the activity. Your advice that you gave to us has already been given a way through and it will be fully included in the operation. Ref; Follow-up Thank You
It is my sincere appreciation for the donation you managed to give to our Agency. It has been our desire to get the machine but due to its high costs that are involved, it was difficult. Your grant has been most important and will boost our working greatly.
The radiotherapy and multiple diagnostic machines you granted us have been already put in the system and it is currently working very well.Practically, the machine is very efficient in diagnosing cancerous diseases. It has an automated system to analyze statistical data especially concerned with breast cancer, which we have adapted into our clinical setting. The machine is capable of precisely recognizing existence of malignant tumors within the breast tissues. This has been a greater move compared with the earlier machines, which were only able to notice calcium deposits which could be radiorised, a process that is not such effective in treatment. In the last five months we have used the machine, we have realized improved outcomes as well as reduced number of false tests that occasionally exposed our patients to unnecessary chemotherapy or sometimes surgical operations.
The most adventurous news I would like to share with you is the findings we have made in the way breast cancer in men looks like and its spread. By the use of the machine, we managed to discover that breast cancer in men usually presents itself in a mass, having irregular shape. The shape has pointy margins. Furthermore, some male cancer spreads even up to armpits. Some other updates we wish to share with you are our suggestion that cases of breast cancer screening need to be done as at age of 40 years. This is mainly aimed at recognizing and reducing any risk factors that may be in the process of creating cancer. It will help reduce mortality rates. In this article, we have cited France where such screening have been effective especially in Paris whereby many cancer cases have been realized and treated thus managing to reduce mortality. We have shared this on our January issue Journal by Carol.
Besides there are some obstacles we have encountered. Most of our staffs did not know how to use the machine. In addition, at the introduction it appeared that a few of our staffs were not welcome with the idea mainly because of some unknown fears. All this was actually within our expectation.
There was need to train our staffs on the use of the machine. This was to bring them into embracing its use and be informed on its mode of operation. We managed this by recruiting experts in addition to the ones you send to us. Through consistent advise and understanding of the benefits of the machine to our operations, most of our staffs are now comfortable and in harmony working together. This has taken the cost of time and resources although it has actually yielded the appreciated progress so far.
I would like to inform you that I have given your name to some hospital executives who asked about your agency and I hope you will help them as per their need. In addition, I have read you on Cancer Article by American Ray Society, (2010), giving your explanations of how to use the cancer high frequency generators from you agency. Our agency will contact you on this machine as we may require it in future. I therefore conclude by thanking you for your great support.
