We brain stormed as a team and we came up with various event ideas that will ensure that the expected guests are happy and satisfied. We had a variety of ideas. We have not settled on which event idea to implement as we as still evaluating the various ideas based on time and financial resource limitations. My idea was to have create an event that replicates fashion shows with a long red carpet in the middle of the restaurant that will act as a runway. Guests will be requested to walk on the runway as they get their seats. After all guests are seated, we will have real models cat walking on the runway to showcase various fashion outfits from modern styles to weird styles. Unfortunately, the idea cannot be implemented because the restaurant outlay does not allow a runway to be placed. After much consultation, the team came up with MADMEN style. All team members were in consensus with the concept since it is quite popular in the US. Therefore, we believe most guests will find it amazing because it will remind them of how life used to be in the past. The concept has been done in the past. However, we believe we can do it better than the previous teams.
It is not so easy to find one neither is it hard. We had many alternatives. However, we settled for the heart and stroke foundation because it was a perfect match for what we wanted. Mr. Gonzalo, representative of the foundation, has been very helpful throughout the whole process. He has been enthusiastic about the event. We are grateful for his valuable contribution on behalf of the organization. We met him at the Tim Horton. We discussed at length all the details of our plan, how we intended to execute it and the challenges we were facing. Unfortunately, our event is about the 60’s lifestyle which might go against the foundation vision and mission. We have taken it as a challenge to make the event as lively and healthy as possible while using it to spread the hearts and stroke messages.
Responsibilities during the preparation
We reserved a spot at the student common hall and held fund raising for the heart and stroke on the Friday the 26th of February, 2016 for 4 hours from 11:00 am until 3:00 pm. The turnout was not as high as we expected. However, it was good enough. We believe the turnout rate might have been affected by our timing. We held the fund raising during exam period when most students are busy studying. We intend to hold a second fund raising event in few weeks in a different location and time to ensure a high turnout.
Ticket
I was placed in charge designing the tickets and printing them. I suggested that we place our own name tap for the event. However, the team did not approve it.
During event
I joined the team late due to some an avoidable matter. There was already a existing marketing manager. Therefore, I am the second marketing manager. We decided as a team that I will assume the role of the “JOKER”. Therefore, I will be second hand (assistant) to all the managers during the event. Besides, I will assist in overseeing all the volunteered staff along with entertainers’ staff to ensure they are doing their job. I will also give them a helping hand when needed. It was also agreed that I will fill any gap that may arise or in case any of the staff could not show up that night or could not make it for any reasons I will step in and assume their responsibilities. That means I have to attend all the training sessions and make sure to know and understand every single part of the event that will be taking place during that night.
