Memorandum
Introduction and Purpose
The undertaking of these systems improvements within the framework of our organization’s structure will be a collective task that incorporates every stakeholders input. The challenge posed upon us is not a mere accomplishing of the three new strategies set for benchmarking but satisfactorily ensuring an efficient and effective mechanism in meeting the standards resulting to optimal outcome for the Wobbly Wheels (WW) Distribution Company.
The one aspect of our business operations that is absolutely inevitable is change. The question that my vibrant team in the Department of Information Technology and I seek to answer is how best we develop an approach to undertaking these changes. This is an approach we hope to develop will be one which upholds the company objectives and image for the realization of desirable outcomes.
It is categorical that time is a factor in every operation we take. This ranges from the accountants and the bookkeepers-their aspect of data entry accuracy within the shortest time frame to the dispatches who need to formulate a routing strategy that would be less time-consuming. They would develop efficient delivery sequence by taking every shipment in a zip code mapping all the elements of logistics in a framework of proficiency.
Leadership Philosophy
The change in this company leadership is a restructuring mechanism in which positions are renamed and personalities assigned to take charge of the stipulated positions. This gives us all a chance to make use of the underlying opportunities due possession of deep expertise in both theory and application of skill development. Within this framework of organizational change of the WW, we acknowledge that nowadays leadership success is pegged about the influence but not a mere exercise of authority. A consultative leadership blended with respect for all including the least in the rank of our employee is the pillar on which our strength is built.
The building of a tactical approach in which the three new strategies formulated is the solely objective of our team. The managerial mechanics in which these strategies are supposed to be achieved must be structured in a manner that best fit WW leadership. This would mean appropriate staffing by ensuring a restructuring measure that would best place individuals into the positions of their qualification and merit. When the WW has fully put individuals with skills, experience and expertise in the right positions of leadership and management to ensure propelling of the company’s mission.
Teamwork is an area our management will not fail to exploit. The undeniable potential of the aspect of teamwork in the drive of the organization’s objectives is one that is unequivocal and would mean so much within this organizational change structure. As a team, we will be a point of support to one another by learning each other’s strengths and weaknesses with respect to upholding great performance levels.
A management strategy that is inclusive would be a platform in which the leadership of this company permits its staff to participate in the managerial and operational functions. The strategy is achieved through consultative decision-making and again giving them a substantial degree of autonomy in completing their work routines promptly.
Internal IT Strategies
The IT strategies should have a broad coverage of all the facets within the technology management which encompasses human capital management, cost management, software and hardware management, risk management, vendor management among other areas to be considered in WW IT environment. These internal strategies are formulated intentionally to ensure improvement of the effectiveness and efficiency of the company as the principal domain of the information system function.
Information technology and organizational design
Within the scope of analysis of the impacts of IT on the corporation’s internal strategy can be based on the organizational design. Such a strategy provides a framework of operational models for the generation of testable and specific hypotheses. It ensures identification of relevant and key variables and offering a methodological tradition within which to operate.
IT and competitive strategy
The application of information technology has resulted to the identification of opportunities which offer this company a great competitive advantage. The competitive advantage has brought distinction of two general approaches which is value-added chain analysis of the corporation's operations and the Porter’s framework for the competitive analysis.
Functional effectiveness and operational efficiency
The traditional focus which information technology gives emphasis is making sure that the systems improve operations. This objective of the information technology applications become a central point in supporting the internal strategy of the company.
Cooperative information systems
The competitive strategies in the exploitation of synergies with suppliers and customers usually revolve on the opportunities for effective coordination (Myers, Hulks & Wiggins, 2012). A proper coordination achieved through appropriate information systems ensures blending of the various operational facets internally and even across different firms.
IT and product innovation
Information technology provides the company with exceptional opportunities for the product innovation. The aspect of product differentiation can also be enhanced through information technology, thereby creating value for these products.
Current IT Department Structure
The current IT department structure of the WW Company depicts organizational level within the department by giving the definition of the manner in which activities like supervision, allocation and coordination are aligned towards the achieving the goals of the company.
New CIO Organization
The new CIO organization would pick its grounding on the basis of a smoother transition from the previous IT organization. This would mean incorporation of the positive steps that the IT department developed like the competence and capability of the IT staff. The new CIO organization would be the foundation on which WW Company propels its new course of action in moving into the scale of greater performance and productivity.
Key Services
Feedback and Quality service
The management of the new information department should make the measurements of feedback and quality of services it delivers from the integration of an advanced approach of information technology in the operations of the company (Lewis, 2011). The customers point of view on the services and products of the company are of great significance in ensuring that their tastes and preferences.
Proficient communication avenues
The new development would be a platform of increased efficiency in information dissemination within the company’s structure and beyond to the general public and its consumer base.
Encouraging a sense of responsibility for team performance.
The employees of the WW Company will be in a position to gauge their performance and the impact of such performances on the corporation and the entire workforce.
Customer friendly policies
The new information organization would be structured to suit meeting customer demands. This further looks into the taste and preferences of the customers to ensure that our services and products meet their expectations.
New CIO Organization Structure
The new CIO organization will have some changes its changes in its structure. First, the line of command within the new CIO organization structure will ultimately be bestowed upon the Chief Information Officer as the top chain of command in this structure. This would create an explicit operational chain in which every staff don’t experience any duty overlap and know very well the immediate authority they are answerable to within such a new structure. The new CIO organization structure would take the form below:
The major organizational change within this new CIO structure is purely a creation of a chain of command. This is a formulation of a structure in which the hierarchy of management is explicitly designed to be answerable to a particular authority without a mix up of a chain of command. This is seen when the computer security expert and help desk personnel are both answerable to the Second Deputy CIO while financial analyst and network engineers are also answerable to the First Deputy CIO.
Key Milestones
Within the new CIO organization structure, time factor has been a point of reference in a number of ways. The structure is designed to ensure a fast consultative line in which the relevant authorities are engaged in the management process but from a more efficient perspective where time-consuming elements are minimized at all cost.
Another milestone of consideration within this new CIO organizational structure is the aspect of efficacy. This would range from lowest level of the drivers position in ensuring timely delivery to the customers to the high performance of the information technology experts in information dissemination and keeping a check on systems security and performance.
Conclusion
Performance improvement is the basis on which the new CIO organizational structure is founded. The Wobbly Wheels (WW) Distribution Company should be in the best position henceforth in scaling a greater competitive advantage as a result of increased efficiency in its operations.
