Memorandum
TRAINING OBJECTIVES
The objective is to facilitate an offsite 2 day training session. The aim is to equip all the trainers with the necessary knowledge and skills that will be useful in training new employees who will be engaged by the company. Since this is a rigorous exercise, additional personnel from other parts of the country will be flown in to facilitate the training session. The training is scheduled to take place between the 20th and 21st of June this year.
The training session will be organized into 3- 5 hour training session beginning the first day. Therefore, participants and facilitators are expected to arrive early. The trainings will be carried out in a conference facility. All subsequent trainings will be done in the same venue. Each participant will be provided with the necessary training materials. There will be computer trainings and video training to all participants. The facilitators will be required to carry out training through computerized training.
This meeting thus will help to come up with the training objectives, ensure availability of the required training materials and also provide the required resources in terms of computers, projectors, reference materials that might be needed by the facilitators. Hotel reservations for the training session will be organized in the same venue.
In addition to the resources, venue and facilities to be used, a training strategy with regard to content, expected outcomes and a general goal of ensuring that the trained personnel are able to train the potential employees to be productive to the company.
TRAINING SCOPE AND BOUNDARY
This training only covers the training of the trainees in order to, effectively, train the potential employees. It will equip the trainees with training skills in tasks relevant to the company. This will include subjects such as time management, problem solving skills, management skills, teamwork, project management and delivery of deliverable.
This training session will also entail any personal development and career development skills that will be deemed necessary and beneficial to the employees. Most importantly, it will train the trainees on how to, effectively, train the employees.
TRAINING TASKS AND RESOURCES
The tasks involved during the training session include:
- Two hour computerized training
- One hour video illustration and a two hour focus group discussions that are organized into two sessions separated by a lunch break.
- There will be snack breaks between the video and focus group discussions.
- The focus group discussions will involve review of related training materials and note taking.
- Each day will be wrapped by a brainstorming session where questions are addressed, and trainees may seek clarifications where necessary. Ideas that could be used to better the training are shared during the brainstorming session.
The company will provide any computers, videos, specific programs and reading materials to ensure the training is effective, and the training objectives are attained.
- Accommodation for the participants will be reserved in the same hotel where the training session will be held. This arrangement is to avoid additional transport costs and to save time.
- A total of 20 participants are expected and 5 facilitators. Three of the facilitators will be flown from Washington DC and the company will pay for their two way ticket.
Training sessions will be as follows
Day 1
Training begins at 8am to 6pm
This day will include introductions, layout of objectives of training and commencement of the computer trainings and video illustrations.
Day 2
Training begins at 8 am to 4 pm
This day will involve short computer trainings and video illustrations and a more focus group discussion and brain storming sessions.
The financial resources needed for the two day training session include:
- Cost items
- Flights from Washington D.C for the three facilitators
- The flight costs for the two way tickets is $2,000
- There is no flight cost for 3 personnel because they work at the HQ Kansas City where the training is being conducted.
- Accommodation will be reserved at the same venue for two nights at a total of $1500 meals includes breakfast, lunch and snacks at $800 for the two day training session.
- Training materials will have no cost since they will be provided by the company the computers will be preinstalled with the required software. Other stationary ( pens, notepads) will cost a total of $200
- Per -Diem allowances for the five facilitators based on the recommended rates $1000 per day per facilitator. Total $10,000
The estimated total cost for the training including flight tickets, meals, training materials, accommodation and per diem for the trainers is approximately $15,000.
