Introduction
Information System structure, as a department within an organization is one of the most important sector of an organization. Communication is the basis of running an organization since communication is inevitable in an organization. Therefore, every organization must put in place plans for a well-composed information system that pick as soon as the organizations operations begin. With the Information System is place, the organization has to developed an efficient management mechanism for the information system. These will contain a fully equipped information system, a defined maintenance mechanism and a proper way of training of the organization’s workforce on how to handle the system. This essay therefore aims at analyzing the management of an organization’s information system.
Discussion
An information System’s management structure within the organization is responsible for departmental duties such as configuration management, preventative maintenance and training of the organization staff on the use of the information system (Singh, 2007). The organization’s objective is to ensure efficiency through their performance so as cut down on maintenance. The major roles performed by the management are discussed below.
Configuration Management is the managing of a system security including the software, firmware, hardware, files and other documents within the software system throughout the life cycle of an information system. Configuration Management in information gives the overview of the institution, activities undertaken in the institution, the sum task performed, and the objectives aimed at. Configuration Management hence increases in the overall organization performance, efficiency and steers-up the software quality by automatically updating documents and file and rearranges them in best way possible after the changes.
Configuration Management also considers the overall security rating of information system in place. It ensures that no interference on the software and hardware take place during the duration to which the software is in operation (Singh, 2007). Therefore, for the information management to succeed, it must ensure a proper Configuration management for all levels of system development and production.
Employee Shift
This is another essential role in information system management. It is also referred to as the Change Management. This is the shifting of employee of the organization from an existing work stature to the organization’s objected future stature. Change management is a process aimed at building up employees’ morale by giving each a chance to participate in other roles within the organization and kills boredom in the work place developed by working in a giving position of role for a long period. In change management, when a change in the system configuration is undertaken, the individuals are formally introduced to the changes. This is a very important role in information system management as it enables the organization to avoid damages that might be cost by employee mistakes.
Version Management
This is one of the important Information System Management plans under the Configuration management that allows for making follow-ups on system software. It also ensures that changes made to the software by other users do not corrupt the software’s functions. It is therefore important that organizations consider taking a proper version management so as to avoid collusion of software operations and duties.
Maintenance system
This is the proactive software management plan where the organization ensures that regular check is done on the software and hardware to avoid machine faultiness and problem arising from the software (Prakken, 2010). When software is put into running, it would require a regular checkup on it to ensure that it does not develop any fault in its functioning. Maintenance system is a very important bit of the information system management as it ensures keeping the system in place to perform its duties.
Preventive maintenance
Preventive maintenance involves the measures taken by the organization management to exit all the possible chances and risks that the information system may be exposed to. The preventive maintenance aims at eliminating total losses to the organization. It involves carrying out a regular check on the system software functionality and rectifying any damage identified at the early stage.
Employee Training and Couching
Training of employees is one of the major ways adopted by organizations to cub input and property damage. The organization trains its employees on every change made within the system. This allows the employees the opportunity to be able to learn on new skills of using new software adopted by the organization. It gives chance of merging the system and the employees.
Globalization
Globalization plays a very crucial role in the management of information system. The spread of technology has been so fast globally and therefore this has pushed for the sudden spread in technology as an important tool in communication. Adoption of new systems and eventually upgrading of software has made it mandatory for organizations to check on their systems with reference to existing global trends in information and technology. Therefore any step taken by the organization’s peers, will necessitate a similar approach in the organization to counteract their moves.
Conclusion
Information system management is quite essential for the organization. This would therefore require that people and organizations develop a systematic and well-defined mechanism to help in information system management. The management of the information system must hence be prioritized at all cost to enable organizations cut down on their running costs and fro production efficiency. Therefore, an information system infrastructure without a proper management would be very ridiculous. Organizations must therefore develop proper information system management to the best of their production and operations.
