Executive Summary
Costless company has expanded over the recent years, and it relocated its offices to meet the increasing number of clientele. However, it continued to use the same resource as before. The situation calls for an immediate solution to remedy the impending operation problems. In this regard, it is my responsibility, as the administrative manager, to ensure that the operation of the company and productivity does not decline. In this view, several equipments and facilities need to be implemented to improve the company’s productivity and maintain a motivated worker force. Therefore, provision of essential facilities is crucial for the success of the company. Thus, the company intends to acquire office desks, chairs, PC and note book computers, display screens, and soft ware among others for various offices. This is aiming aligning the new offices to meet the increasing demand for services.
The paper will present a proposal on the need to acquire new furniture to give the new office a dynamic look. Therefore, several furniture items are proposed for procurement. This will increase department efficiency and performance, resulting to increased organizational efficiency and productivity. However, a lot of changes within the organization need to be undertaken, such as improving the information systems, the interior appearance and quality of furniture in the organization’s offices are critical for the success of the company.
Introduction
Costless company has expanded a lot in the past two years resulting to increased customer clientele. As a result, the company relocated its offices in to a new building. However, the old furniture was moved into the new office. This has resulted to a horrible appearance. In addition, the design of the desks, chairs and other ergonometric equipments are not comfortable.
In my capacity, as administrative manager, to influence and implement decision, I deiced to give the new office a dynamic look. In this regard, the general office furniture shall be replaced. This would include acquisition of ergonometric equipments for the offices of director, import manager, administration manager, and sales persons. Generally, the new furniture will be acquired for all the offices. This would include comfortable chairs and desks, and cabinets among others.
A survey on the market prices and quality of products reveals that the choice of products will vary depending on quality and price. However, a balance between quality and price shall be considered.
Aims of the proposal
The purpose of the proposal in to give information on the best furniture that meet the requirements of the costless clothing company. Moreover, it will provide an estimate of the cost to be incurred by the company in acquiring the furniture. Also, the proposal will outlay the benefits to be accrued by acquiring the furniture.
Benefits of furniture resources to the departments
The quality of the furniture in a department determines the level of efficiency of the employees. Desks play critical roles in the departments because all manual worker and computer are done on them. Therefore, when desks and chairs do not provide comfort to employees, they develop neck pains, get tired easily, and their productivity declines. Also, the security of documents and files depends on the availability of cabinets and other storage facilities. Files and documents stored in lockable cabinets are easily retrieved. Therefore, quality furniture ensures continuous productivity. Lastly, employees are motivated by good working conditions. A neat office is a sign of professionalism, and customers will respectful to the employees.
Benefits of the furniture products to the organization
Efficiency within the organization is achieved when all employees work in a favorable environment. Moreover, employees are motivated, and their performance would increase; thus, increasing the company’s productivity. Clients are often impressed by good interior design and quality of furniture in the office. This will increase customer loyalty; hence, increase sales volume. The furniture will reduce employee complaints about their back and neck pains. Thus, there would be few conflictions between management and employee. As a result, management practices will be enhanced.

Information on furniture was collected through the use of a questionnaire administered to several suppliers of office equipments. Through observation, different models of furniture available in many stores were identified. In addition, they were compared on the basis of price, quality, and depending on the specific organization needs. Also, telephone interviews were conducted with various sales personell.
Product specifications were obtained from the furniture suppliers’ office. Moreover, the information for various types of furniture was collected from supplier’s websites. This provided a broad spectrum of furniture to choose.
Proposal Body
The expansion of the company requires alignment of several resources
to meet the organizational current needs. Firstly, the furniture acquisition for giving the new offices a dynamic look. Secondly, increased customer clientele calls for faster services that demands for the improvement of the information systems. This requires acquisition of new hard ware and software. Also, improving the security systems to ensure nothing disappears from the stores. Lastly, it would require the modernization of operations of the company. This will be done by improving access to the internet, and use of portable computers, and PDAs. Therefore, notebook laptops and Samsung galaxy smart phone would be needed.
Budget
The budget was developed in accordance with the market prices, quality of products, and the suitability of products to meet the specific needs of the company. The budget below shows the various furniture items and the preferred quantity to be purchased.
Conclusion
Equipping the office with new furniture will give the company interior appearance a dynamic look. Clients will be impressed, employees motivated, and the company will achieve high productivity. However, other systems changes need to be implemented to align the organization in its growth strategy.
