Management history
Introduction
Cyber Software Inc. is a software development company that has engaged itself in the development of the security software since its establishment. The CEO of the company is putting his efforts to develop the lively working environment in the company that not only fostered the entrepreneurial culture but also boosted the innovation. Joseph Jackson, the CEO of the company, has been handling the company till today. Cyber Ware software is the popular software developed by the company that can monitor the activity of the hacker and stop them. However, the company’s performance has been dropping since Jackson took over the company.
The company is driven by the mission of helping the customers to secure their information by providing the innovative services. Even the internal organizational culture fosters the cooperation among the employees, entrepreneurship, teamwork thereby leading to the innovation and invention. However, the company’s organizational structure seems to be complicated where all the responsibilities of operation and management have been centralized with wide control span.
Proposed new Mission, Vision, Structure and culture
Joseph Jackson is always worried about the success of the company while maintaining the good working environment in the organization. He is ready to take any level of risk for the betterment of the company. No matter what, he is ready to change the structure of the company, redefine its mission and vision, and even change the organizational culture if they are seemed to enhance the company’s as well as employee’s welfare. The light of solving the problems related to planning and organizing that the organization is currently facing drives him. He has started seeing the double-digit growth of the company with stability in the management and soaring profits and this is what motivates him. He is looking forward to solve the problems related to planning and organizing effectively and efficiently so that the organization moves in the path that he has envisioned.
However, the company must redefine its mission and vision. The vision and mission of the organization are the driving forces that take the organization to its desired state. The current mission and vision statement seems to be incomplete though. In the broader aspect, the new mission statement should be “To be the leading firm in the industry by delivering the innovative products and service to the customers as well as anticipating their future needs at present while fostering the conducive and cooperative working environment in the organization motivating the employees to be more productive and efficient.” The company must redefine its vision statement as “ To be the industry leader by serving the esteemed customers with the innovative products that are based on the latest software innovations and inventions.”
The new vision and mission statement is appropriate for the company because it address the broader aspect of the organization. It not only focuses on the productivity of the organization, but also looks after the employees. When the mission and vision poses the broader yet realistic goals to achieve, then this affect the performance and the motivation of the employees in the positive way. The effort that the employee puts on the organization is increased because the employees start seeing the company move towards the desired state (Prucha, Walterova, & Mares, 2008).
The existing mission and vision was good but it was not complete enough. It only looked over the company but did not address the things at a more detailed level like that of employees and organizational environment. The mission and vision statement must encourage all the employees to put their efforts in a unified spirit to drive the organization towards its goal effectively and efficiently. Since, the new mission statement addressed the issue about the employees and the organizational culture, it will help the management to develop the conducive work environment in the organization to encourage the innovation in the company.
Similarly, the new vision statement also focused on the innovation and inventions. This strongly related to the developing the innovative culture in the employees. The innovation and invention is possible only when the employees work together in a team. The previous mission was market focused i.e. to be a top software company by providing the best protection to the customers but the current vision statement focuses on both the market as well as the internal organization.
Aspects of Planning that Impacts Cyber Software Inc
A software company must pass through various phases of planning. There will be multi-level planning at each phase of software development. One of the major aspects of planning that affects the company is the work plan as well as the estimation of the cost. Software is developed based on the detailed work plans. The work plans can only be developed if the company has the environment of the teamwork. The new structure of the organization will foster the implementation of the work plans because there will be several teams working together. Based on their specialization, they will coordinate each other for the better result. The development of team will assist the organization in division of work. This work division will demand for the smaller work plans that are easy to adopt. Similarly, for a smaller work, each team can make the detailed and accurate cost plans with minimal variance.
Organization’s structure
The company must change its structure and adopt the new form of organizational structure. Structure coordinates the organizational resources as well as the activities. By understanding the nature of the company, the company must adopt the decentralized form of organization that will provide the lower level staff with sufficient authority as well as responsibility. Software development do not have strict path to adopt and it is dependent upon the creativity of the developer. If the developer is made to follow the path envisioned by the leader, then the efficiency of the developer will be reduced. Developer must be given sufficient authority to use his concept in the software development while ensuring that he develops the final product as per the configuration. With the narrower span of control and greater division of work and specialization, the developer will improve his productivity. The close monitoring will ensure fewer mistakes while specialization and division of work ensures efficiency as no developer can perform the entire work of software development with same vigor and efficiency.
The narrow control span makes the supervision effective. The quality of work will increase while probability of mistakes will be reduced. Similarly, division of labor makes the employee to work on the specific work only on which they have the best skill. This increases specialization. When the specialized person does a work, then it is very likely to be more effective and efficient (Nonaka & Konno, 2005).
The new organizational structure can be shown as.
Creating an organization culture
Schein (2010) defines the organizational culture as the collection of norms, values, behaviors, beliefs, and ethics that will drive the activity of a group or society or an organization. The new structure created demands for the installation of the new culture that aligns with the structure so that the probability of the organizational success increases while achieving efficiency and effectiveness. It is very important to have the organizational harmony and the cooperation among employees to achieve the success, and the organization cannot overlook over this matter (Chan, Shaffer & Snape, 2004).
Apart from that, the employees must be oriented to the new culture and facilitate them in working in the new culture. They must be made comfortable to work in the new culture so that their performance will be enhanced. The employees must also be ready to adopt the new culture if it is good for both the organization and them. The measure of the organizational success is totally dependent on what the employees achieve for the organization and them, the company must focus on their motivation and performance (Hoffman & Klepper, 2000). The successful implementation of the culture is measured by the change in the performance of the employees. Because the culture largely affects the performance of the employees, a good culture will bring the changes in the overall performance of the organization. The culture should also reward the employees who change their behavior according to the demand. If the culture is itself rewarding, then it motivates employees to adopt the new culture that will bring about the positive impact in the organization.
Effectiveness of new structure and culture
t is better to have the new culture and structure as per the Jackson’s vision for Cyber Software Inc. because it will enhance the organizational planning. The cost estimation and the work plans will be accomplished realistically and smoothly because of the decentralization. The participation in the decision-making will increase because of the decentralization. Apart from that, the specialization, departmentalization and division of labor will make the organizing activity smoother and easier. The new structure and culture will thereby enhance the effectiveness of the organization and achieve its objectives easily that ultimately leads to the company’s success.
