As a Marketing Intern within Khalid Mohamed Hamdoon Est., located in Jeddah, Saudi Arabia, I was responsible of analyzing the marketing and sales activities, coordinating events, creating business reports, media pitches and marketing materials. As part of my responsibility of analyzing the marketing processes of Khalid Mohamed Hamdoon Est. company, I interacted daily with people applying the organization’s marketing procedures, on various levels, which allowed me the opportunity of critically evaluating the efficiency of these procedures and the way that they were applied. The observations gathered while assessing the company’s applied procedures and their efficiency for the overall business make the object of my current project. This is the initial proposal which will briefly present the business issues observed and will offer brief indications on how to address them.
Khalid Mohamed Hamdoon Est. is a small – medium business, activating in the building material sector, providing solutions for optimizing new constructions and renovating older buildings. For supporting its business it incorporates a marketing department, responsible with sales, market investigation, customer service, events, elaborating reports or delivering advertising materials and media pitches. These complex activities work by strict guidelines and organizational procedures, which reflect an autocratic management style. The fact that employees are following precise procedures for each of their activity denotes an organized working manner, but on the other hand it hinders the creativity. Having in mind the goal of respecting the organizational procedures and guidelines, the workers are actively focused on filling reports, papers, minutes and other official documentations, centering most of their resources on these activities.
Sales protocol implies following precise guidelines and strict regulations, which include shipping the potential clients from an existent data base and approaching them on these channels: email, phone, face to face conversation and follow – up email. This is a very good and organized structure, but one that is utilized by most of the companies that sell building materials. Therefore, a less classic approach would be required for making a difference and gaining competitive advantage. I would propose a non – conventional approach for the beginning, followed by a more flexible follow up and follow through process, depending on the customers’ preferred modality of interacting.
The customer service activities imply answering emails and phone calls for assisting the customers with their inquiries. The email answering procedure supposes visualizing the email and depending on the subject and content of the email, it is further assigned from the commend center, to customer service assistants who are trained to offer proper answer. While this is an efficient procedure, it could be improved, by sending an immediate ticket to the customer who sent the inquiry by email, letting him know by an automatic reply email that the inquiry was received and it will take a certain amount of time (it is recommended to be specified) for receiving an answer from one of the company’s consultants.
The procedures involved in organizing events imply elaborated rules that although help in the organization process by giving it a structure, they also tend to tangle and confuse the organization process, because of the unexpected and the surprising factors that are specific to events organization. Therefore, a less bureaucratic environment for organizing the events is recommended and in the same time, more flexibility from the organization’s side.
Based on these initial business issues observed within the company Khalid Mohamed Hamdoon Est. there can be stated that the authoritative management style adopted by this organization is unsuited for the marketing activities. While for the building activity sector this management style is suited, for marketing activities a more creative managerial approach would be recommended.
