Protocol Plan for the London Summer Olympic Games to be Held on February 20, 2016 at the London Oval Stadium
No event during the opening ceremony will proceed until all security and safety concerns have been considered and addressed adequately by the Chief Security Officer.
The senior security officers will require a written description of various events and information about the VIP and potential treats for consideration.
The VIP and her itinerary will be requested to disclose any security and safety concerns they may have, and whether they will be accompanied by their own security personnel.
All traffic requirements for the opening ceremony will be considered beforehand and be coordinated by the traffic commandant and the chief security officer.
The traffic commandant shall organize access to the stadium and car park for event attendees.
Once the VIP arrives, all gates will be closed. In addition, no one will be allowed to leave the venue before the VIP.
The VIP and members of the public will use different access routes.
If the VIP require access to the podium, she will be assigned an appropriate car type complete with information about registration number, color, entry gate number and intended route.
If the VIP has a physical disability or a mobility issue, security should be informed in advance to organize for appropriate assistance.
Guests to be notified of parking information including location of car park
All entrances to the stadium will be sealed once the VIPs have arrived.
Depending on the type of security threat identified, there will a secure holding room for the VIP.
VIP will be provided with extra security if they wish to tour the factory and other areas of interest.
The event will be closed to vendors of all types.
After the event, the VIP and her itinerary will be escorted to their cars and thereafter to their hotels.
Briefing for Principals and Staff
Plan on on-site rehearsal/walkthrough: a rehearsal will be conducted on 19th February, 2016 to ascertain crucial issues pertaining to the event. 200 staff members will be required during the rehearsal. The staff will be divided into smaller groups each of which will be responsible for a specific task. Major tasks shall include arranging chairs on the dais, setting the public address system, receiving visitors and directing them to their seats, and greeting the VIP. There will be a shadow staff in place just in case the main staff is overwhelmed.
A special staff of five people will be tasked with the responsibility of receiving the VIP. This staff will greet the VIP, escort her to the dias and give gifts. The staff will ensure that no one shakes hands with the VIP due to security reasons.
Staffing Needs
During the Opening Ceremony, a staff of 1200 people will be required to man the event. The staff will be headed by a superintended who will be the protocol authority.
Funding for the event will be met by the British government in conjunction with corporate sponsors and other well-wishers. The public will be requested to make contributions if they will be willing.
The staff will be divided into smaller groups to help in executing various tasks such as directing the program, making name card/tags, escort cards, place cards, calligraphy, dietary requirements, F&B/catering, gifts and companion program.
