Analysis by Comparison and Contrast
Introduction
Appropriate software is important in a presentation as the choice can determine whether or not the dissemination will be successful. In my presentation of the equipment upgrade, I choose to use Prezi over PowerPoint. In this write-up I explain my rationale to this effect.
While Prezi is more recent that PowerPoint, it is relatively a more useful presentation tool in the proposed presentation. To start wit, unlike PowerPoint, the software enables the user to put information in a single canvass (one large slide). It is easier to organize information on the infinite canvass to suit the presenter’s and audience’s needs (ACRL University Libraries, 2013). This will be useful in my presentation since I would be able to detail the equipment upgrade process and diagrams, and other aspects of the procedure on a single canvass where the audience can easily understand. In this case, Prezi would more effective than PowerPoint since the audience would be able to see the design of the equipment upgrade from one page, unlike PowerPoint presentations where they would have to go through passing slides with bullet points and fragmented details. The slides characteristic of PowerPoint presentation increase the possibility of losing the audience’s focus as the presenter goes from slide to slide, often reading directly from it.
What is more, Prezi has a wide range of useful features, such as ‘Smart Zoom’ which enable the user to zoom a text, diagram or image. This implies that one can enlarge characters to emphasize or show details during a presentation. Moreover, Prezi allows the user to include clickable PDFs, video files or links, images and texts. More importantly, Prezi allows one to get an overview of the whole presentation on one page at once, making it possible to show the structure of the presentation ad relationships between various items within the dissemination. This coupled with the customization and text format features make Prezi a very useful tool in this presentation.
The System Upgrade
System upgrades are important parts of changes in organizations with a view to improving efficiency. The systems upgrade will entail replacement of old equipment and systems with new, modern ones, and acquisition of modern computer software for use within the organization. To ensure efficiency, staff training will be undertaken to orient the employees with the new systems. This will go a long way in alleviating confusions, difficulties using the new equipment and dissatisfaction of some employees. To this end, the intended system upgrade will accrue many benefits. For example, since the resultant system will be more functional and easy to use, the work of the system operators and other users will be streamlined. This will result in increased efficiency and a significant increase in productivity. The new systems will also reduce operational costs which, coupled with the aforementioned advantages, will lead to increased revenue and corporate finance. Using Prezi presentation software, it will be possible to details all the equipment that will need to be replaced (including images and features of the new items), the training process, goals and benefits, as well as the envisioned outcomes of the entire process upgrade among other aspects.
Conclusion
All in all, Prezi is the preferred presentation tool in this case because it has useful features, notably the infinite canvass which enables overview of the entire presentation structure at once, besides other features. The web-based presentation software will be useful in the presentation on system upgrade.
