1.0 Introduction of the project
This paper provides a business plan for carrying out a company dinner and dance party for 100 employees. The company dinner and dance will help in appreciating the employees that have been striving to help the company in realizing its mission and vision. Most companies hold corporate dinners and dances every year. In most cases the duration of the events lasts between two to three hours (Nelson, 2012). The events do not consume the staff's personal time, and they are carried after the office hours or in the evenings. Company dinners and dances are advantageous because they increase the commitment and the loyalty of the workers. Evidently, the events make the employees be committed because it makes them feel that the company values them. Furthermore, the Company Dinner and Dance foster cohesion between all levels of staff because they break down the barriers that exist between the lower management and the higher management (Nelson, 2012). In the same way, the events eliminate the barriers that exist between the subordinate staff and the superiors. During the Company Dinner and dance, the staff interacts without limitation, and this fosters teamwork when they resume the normal activities. The workers get time to interact with their colleagues, and this helps them to catch up on issues that cannot be discussed during the normal hours of working. The event will offer the employees the opportunity of developing interpersonal relationships and appreciating one another. The subordinates will have the chance of communicating openly with their employees thus the event will encourage them, to be honest, and open. The employees from different departments will get the chance of interacting during the event as well (Winters, Kool, Klazinga & Huijsman, 2014). The project scope statement is provided in part one of the business plan. The project priorities are offered in part two of the business plan. The work breakdown structure which encompasses the dinner and the dance is offered in part three of the business plan. The cost estimation of the project which includes the time-phased budget is in the last part of the business plan.
2.0 Project Scope Statement
The project scope provides the accomplishments of a particular project. The time and budget that are allocated to a particular project influence the success of that project. Therefore, it is crucial to define the time and money that are required for a particular project before commencing the project (Mirza, Pourzolfaghar & Shahnazari, 2013).
The core objective of the Company Dinner and Dance will be to appreciate the employees’ efforts. The event will be used to thank the employees for the effort they put in a bid to ensure that the company succeeds in its endeavors.
The deliverables for the Company Dance and Dinner project will be to, and the first one will be ensuring the company's employees have a good time. The second deliverable will be to let the employees know that their efforts and hard work are appreciated by the company.
The Company Dinner and Dance will have three main milestones. The first milestone will encompass confirming the total number of employees that will attend the dance and dinner. The attendance of the event will not be mandatory for all the employees, but the supervisors in every department will be required to encourage the employees to attend.
The second milestone of the project will be to determine the appropriate date and the best location that will be used for the event. The location that will be used will be big to ensure that all the company employees are accommodated. More importantly, the date of the event will be confirmed in time to prepare the attendees psychologically about attending the event.
The third milestone of the event will be availing means of transportation that will be used to ferry the attendees to the venue of the event. Carpooling will be encouraged to ensure that all the attendees are transported comfortably to the venue. The employees with cars will be requested to assist in ferrying their colleagues to the venue of the event.
The technical requirement that will be focused on before the event is the booking of a big private ballroom to ensure that all the employees are comfortable throughout the event. Since this will be a private event, the employees are the only ones that will be allowed to come.
The constraint of the event will be time hence the attendees will be requested to arrive early at the meeting point to help in starting the event promptly. The event will also be completed in time to minimize the chances of the attended arriving late at their homes. After completing the event, the employees will leave at their pleasure.
3.0 Project Priorities
The first priority of the project is adequate planning and supervision of the activity. This priority encompasses the coordination, planning, and disbursement of finances. The planning and supervision of the event will be instrumental in realizing the objectives of the project. Further, they will ensure that all the deliverables are met. The second priority is preparing sufficient dinner for all the employees. This priority encompasses, shopping for the ingredients, cooking the dinner and serving the dinner. The third priority is to get the required room and equipment for the event. This priority will ensure that their rooms big, there are enough tables and chairs, decorations utensils and equipment. The fourth priority will be hiring a DJ and live band that will entertain the attendees during the dance session. The fifth priority will be to allocate duties to the cleaners, shoppers, servers, and cooks. The last priority will be to transport all the attendees to the premises of the event. Further, the last priority will ensure that all the attendees travel safely to their homes at the end of the event. More importantly, the event will be designed in such a way that the employees will feel appreciated and valued by the company after attending the event.
4.0 Work Breakdown Structure
4.1 Dinner
The hall will be inspected to ensure that it is big, safe and of high quality. The buffet-style will be used to serve the dinner; thus, every attendee will serve himself or herself. Further, the vegetarian options will be included in the dinner. The metal folding chairs will be used during the event and confirmations will be made in advance to ensure that no attendee misses a chair. The table cloths that will be sued during the event will be plastic rectangles that will be simple. There will be no provision for additional guests that do not work at the company. The attendees will take dinner fast before dancing. Desserts and fruits will be served alongside the main meals. Furthermore, alcoholic beverages will not be part and parcel of the dinner, but the employees will be free to order them from the bar at their expenses.
4.2 Dance
A jazz band will be hired to entertain the attendees at they will taking their dinner. The open floor space will be used for dancing. The patrons, who will be outsourced, will be tasked with the responsibility of ensuring the event is a success. The DJ will entertain the attendees with the music of their choice. The sound equipment that will be used during the event will be functional and of high quality.
5.0 Cost Estimation
The planning and supervision of the project will commence on 1st May and end on 30th may. The total amount that will be incurred in planning and supervising the project will add up to $2000. The Human Resource department will be in charge of planning and supervising the project. The formulation of the budget for the project will commence on 7th may and end on 20th May 2016.The amount that will be incurred in formulating the budget will be $200.The finance department will be in charge of formulating the department. The ingredients that will be used to prepare the dinner will be purchased as from 1st August to 14th August 2016. Employees will be chosen to purchase the ingredients. The amount that will be used to purchase the ingredients will be $5000. The room that will be used for the event will be booked on 20th August 2016. The amount that will be paid for the room will be $2500. Outside caterers will be hired to prepare the dinner on 30th August 2016, and they will be paid $1000 for their services. The attendees will be transported on 30th August to the venue of the event using hired vehicles and the cars of some employees. The transportation of the employees will incur charges amounting to $3000. Furthermore, outside caters will be paid $1000 to serve dinner to the employees. The amount that will be paid for the serving of the attendees will be $1000. A DJ will be hired on the day of the event to oversee the dance part. The DJ will play music for the attendees. The amount that will be paid to the DJ will add up to $800. The search for a life band that will entertain the attendees will commence on 20th August, and the live band will be paid an amount adding up to $2000.The total amount that will be incurred during the project will be $17,500. The table below provides the time-phased budget for the project. The budget is for 100 attendees.
