Identify the common roles in a human resource project. Then, analyze these roles to typical human resource functions.
Different types of projects require different methods to organize people. One of the factors is their size, which determines how the people are organized. The project with small scale needs little organization structure, which has a primary sponsor, project manager and a project team (Mosia and Veldsman). On the other hand, many people are required for large projects. Different types of role in a project may include analyst, project managers, stakeholders, facilitator, and the customer. People should understand what they need to do and how they should fulfill their roles.
The Analyst, often called a Business System Analyst, ensures that all the needs of the business client are fulfilled. They understand and respond to their needs in the rapidly changing business environment.
Stakeholders refer to an individual or a group or the entire organization having the concern or interest in the organization's objectives, policies, and activities. Some of the stakeholders can be creditors, employees, directors, shareholders, government and its various agencies, labor unions, suppliers as well as the society from where the organization gets resources for it.
It is very crucial for a project to identify its stakeholders. On the basis of size and structure of the project number of stakeholders may vary. While considering who the stakeholders are, one might have to think about all the related aspects of the project. After analyzing project landscape, those individual or groups, which might affect or be affected by the project's performance and the result might be considered as the stakeholders.
The person responsible for managing a project, as a whole is known as project manager. He/she plays a crucial role from leading the planning to the development of all project deliverables. The project manager handles all the project management procedures and manages the budget and schedule (“Role of Project Manager in Strategic Planning and Portfolio Management”). The team responsible for executing and producing deliverables of the project either on the full-time or part-time basis as per project manager's direction is known as a project team.
The role, which needs to be reorganized, is of Project Leader because the Sponsor and the project leaders think there are some things to sort out in Project Leader's role. They both are focusing on works, which can be delegated to others and lessen the burden of Project Manager and if he needs any kind of additional assistance or skills to complete the project effectively (Larsen and Riechoff).
Effective communication is the key for Project Leader as they should energize and motivate employees. If the Project Leader is clear about the strength and weakness, he can successfully move ahead. The Project Leader should be willing to monopolize without hesitation because after the reorganization of the Project Leader role, and they will have plenty of opportunities as a leader readily available which will help to develop the leadership abilities. It is crucial to examine the roles around you and to shape the development plans.
Project leaders are supposed to clarify expectation of employees as well as the organizations. By using leadership and communication skills, they make sure that everyone is on the same page and should use the co-worker in order to put the direction of the plan. Effective communication helps to make any project successful and make implementation possible. Leaders should be responsible for the preparation of the high-level work plan and timeline (Larsen and Riechoff). To promote the team and project success, leaders work hard, and they are proactive in taking innovative decisions. They have new ideas and prospects for any problem's solution. On the other hand, there's Core Team Members, who should attend meetings on the regular basis and actively participate in the decision-making process. They should also be in touch with the Stakeholders.
I chose Project Leader and Core Team Members because they are the crucial role in the project. The small groups who work from the initial phase until the end with project manager in making decisions and to carry out project activities are the core team members. The project manager and team members communicate the most with everyone else. They know all of the stakeholders and represent them collectively. They also have knowledge about technologies used and things needed to complete the project and may assist the work of subject matters experts if needed.
Suggest the short-term and long-term effects on the company with roles being shared among employees.
The leader plays a very important role in any organization to set the direction of the company. It highly depends on leadership style how they affect the organization's success. For the employees to develop, enrich and get the best results, the leader should share roles with employees and reward them to motivate them (Meek). Good leadership is directly proportional to the growth of the company. It is very crucial for an organization to have a leader with vision who can give their maximum for organizational interest. If leaders are able to motivate employees properly, they will be able to meet their short-term challenges as well as a long-term challenge.
Effective communication is needed to complete any work effectively. TriHealth will achieve success and would have flexibility in the project as long-term effects if the roles will be shared with employees properly (Murray). The completion time of project will be reduced, and everyone will be on the same page while completing the project on time.
Analyze the need for an additional role. Then, propose a new role and its proposed impact.
As per my analysis, there should be a role of project facilitator, which falls under Project manager for the Trihealth Project. It is also known as project coordinator, which makes sure that resources assigned to complete a target are used effectively. This person is an administrative professional who supervises manager to help project teams. Project facilitator is expected to perform multiple tasks like managing schedules, communicating with team members, assisting members with transportation and coordinating with members. A project facilitator should have experience working with teams and as a team leader.
There is high need of project facilitator in TriHealth project because of the major projects within the company. As the complexity of the project increases, it becomes difficult to handle projects. So a project manager would oversee all the works done and handles the load of added members, which is hard for a single manager to handle. Responsibilities would be divided between manager and project facilitator, which help to work more effectively.
