Executive summary
The Chinese meditation pools are some of the ancient designs that still make sense in the modern times. The design and construction of such a facility requires a lot of keenness from the designer to ensure the designed pool meets the requirements of the client. Anciently, these pools were designed together with a meditation platform because of their complementary use. This project involves the design and construction of a meditation pool and the corresponding platform for meditation. The major challenge in this project is the sensitivity of the final product to the client, which needs to be delivered exactly as the client requires. In addition, there is a fixed budget for the delivery of the product while at the same time is highly limited. Conventionally, when the time for the completion of a project is shorter, there will be higher costs involved to cater for the speedy delivery of the
1.0 Statement of work
We intend to construct a mediation pool and platform for the customer before at a suitable place within his property and here are the procedures we intend to follow while carrying out this activity.
- Since mediation place needs to be quiet, calm, soothing and peaceful, we intend to visit the property in order to determine the most appropriate position to set up the pool and platform.
- We intent to verify if the pool and platform dimensions needed by the client can fit well within his property.
- We intend to verify the availability and prices of materials specified by the client.
1.1 Project description and project product
- The customer has requested a 4meter by 6meter pool with 2.5meters as the deepest end and 1meter as the shallow end.
- The customer has also requested a 4meters by 4meters wooden mediation platform with a shade.
1.2 Project deliverables
- A 4meter by 6meter mediation pool with 2.5meters as the deepest end and 1meter as the shallow end.
- A 4meters by 4meters wooden mediation platform (well polished with clear polish and surrounded by top quality 1 feet by 1 feet ceramic tiles)
- A 2 meter tall shade over the mediation platform constructed by three inch by three inch mahogany wood
1.3 Project objectives
- We intend to construct a mediation pool and platform at a cost not exceeding $2,500.
- The project is intended to be complete before 22nd April, 2014.
- The quality of the mediation pool and platform is intended to meet the standards of ancient Chinese mediation platforms and pools.
1.4 Project assumptions
- Permits for constructing pool and platform approved
- Electrical inspections approved
- Plumbing inspections passed
- Mechanical inspections passed
- The premise of the client meets local building codes
1.5 Project constraints
- The client specified Mahogany wood for the platform and its shade but the woods are not easily available and thus could be challenging to obtain
- Having mediation places in homes is not an acceptable culture in the present societies and hence we are not certain of how our project will be perceived by neighbors.
1.6 Exclusions
- The mediation pool and platform will be constructed according to the blueprints provided by the client.
- We as the contractors will reserve the right to outsource equipment and subcontract services.
- Contractor will be responsible for the subcontracted work.
- Water supply for the pool is not included as part of the deliverables provided by contractor.
- The work on the site is limited to weekdays 0800 hours to 1800 hours.
1.7 Acceptance criteria
- The pool must be able to receive fresh water from an inlet and discharge waste water through an outlet for the project to be acceptable by the customer.
- The paint on the platform must be dry for it to be accepted by the client.
- The platform must have a shade in order to be accepted by the client.
1.8 Technical requirement
- The pool must meet standard regulations of depth.
- The platform and the pool must meet standard environmental regulations.
2.0 Milestones
The following shall be the milestones for this project
3.0 Network diagram

4.0 Risk analysis
The matrix indicated below gives an illustration of the risks that are likely to affect the project. It gives an assessment of the risks and ranks them according to the likelihood of their occurrence. In addition, the matrix puts into consideration the impact of the occurrence of the risk on the project
4.1 Risk scoring matrix
4.2 Risk Assessment
4.3 Risk response Matrix
Highest risk #1: Delays in the completion of the project
The time for the delivery of the project is too short and there is a higher likelihood that if anything happens, the project may not be completed by April 22, 2014. It is projected that by April 18, all the major works on site would have been completed and the project will be almost 90% completed. Therefore, if it happens that less than 80% of the project would have been completed by April 18, it will be clear that the project will exceed the time set for its completion. However, as much as this is a major threat to the project, we have tried as much as possible to minimize the occurrence o this risk through adoption of various measures. One of the measures is to develop a work breakdown schedule to keep track of all activities involved in the project and ensure everything is executed and completed according to the schedule. In addition, tasks that are independent of each other shall be executed separately to save on time and reduce risks that cause delay. It is also imperative that the project has been set to be completed 3 days earlier than the actual date to cater for any delays that may occur in the execution of the project.
This project operates on a tight budget and any delays will lead to higher administrative and overhead costs
Highest risk #1: Cost of the project exceeding the budgeted figure
The project is set to operate on a tight budget, with very little allowance for unplanned for costs. However, given the sensitivity of the project, especially the delivery time for the project, it is imperative that a lot of care is given on all the project activities both in terms of time and cost. The best way to do this is by matching the percentage cost spent on the project and the percentage of the project completion. The two parameters should match at any time and where the cost exceeds project completion by 10%, it will be a clear indicator that the project is likely to exceed the budgeted figure. When this happens, the only available option would be to negotiate with the client regarding with the client on how the extra amount shall be catered for. However, this is likely to impact on the project completion as the client may take too long to approval the request and this will delay the delivery of the project. Better strategies have been put in place to ensure this is reduced as much as possible. The adoption of the centralized cost control system helps keep track of all the costs associated with the project and hence prevent unnecessary or unaccounted for expenditures.
5.0 Resource management plan
Given the sensitivity of this project, each project stakeholder has a key role to play and the following are some of the roles that shall be played by the various dockets in the project

The following table gives the summary of the information to be communicated to and from the various stakeholders at the specified time intervals as well as the persons responsible for effective these communications:
Conclusion and recommendations
Owing to the sensitivity of the project, it is imperative that the project team takes note of all the aspects outlined in this document regarding the project. For instance, it is important that the project risks are adequately managed because any small loophole in the management of the project may mess up the entire project and affect the delivery time for the project. however, this does not imply that the project is too risk but rather an eye opener to the members of the project team and the stakeholders to take note of the potential threats to the project and adopt the most appropriate measure to counter. The WBS provided for this project is highly elaborate and is sufficient to completing this project according to the set schedule and within the cost estimates of the project.
