Events are fundamental components of business, culture and lifestyles because of their meaning and importance to personal lives or the society. Planned events are spatial-temporal occurrence (Van, 2007). Every event is unique in its interaction, setting, management, and attendants. Events are valuable tools of communication because of their exceptional ability to create an atmosphere of belonging to enjoy the experience generated from the interactions emerging from the event.
Planned events have different categories such as festival, ceremonies, exhibitions and convention among others. These categories have a general effect because when people describe an event as fair or conferences, they get an idea of what the event entails. Planned event takes a new look and feel every time because of the different intentions, themes and meaning attached to them (Allen, 2000). The audience expectations, motives and attitudes towards the event vary each time contributing to the different look and experience. Events can fulfill multiple functions, have many attached meaning and facilitate similar experiences, therefore, a well-planned event that realizes these effects are important and challenging for event designers to accomplish and execute.
There is a purpose in the organization, management, and conduction of the event. Mainly, events seek to develop varieties in people's lifestyles and other specific reasons either for business or for social motives. Events are conducted based on their initial goals, scale, type, and context. Therefore, adjustments are made accordingly to cater for their intended purpose (Van W. 2007). Planned events are events that planners have carried out sufficient research, created an event design, arranged for food, décor and entertainment as well as coordinate all the work, staff and programs necessary for the success of the event. They have become important in the modern world due to the important inputs they bring to the event and rescue the event owner from various risks.
An event has to adhere to a specific guideline to be successful. The event planning, therefore, becomes a crucial process because it does not only involve the event stakeholders but also provide important information that is necessary for the success of the event. Event planning provides a timeline on what activities need to be done before the event, during the event and after the event. All these process and activities are under the event planner’s firm that provide their expertise in the preparation, design, and execution of the event. They are responsible for the provision of insightful information and services such as health, catering, security and other necessary services depending on the event in question.
The event organizer aims at achieving the attendees’ value expectation, publicize the company and get people together. The achievement of these expectations is through proper event planning that ensures all related services to the event are efficient and sufficiently meets the number of members in the event. The goal and objective of the event drive the planner. Since event planning has different themes, the planners observe and follow the intention of the event in the process of planning (Getz, 2007). If the events aim is to raise funds, awareness or to move an idea or activity forward, the planners adhere to those objectives in the planning process. The events evaluation must ensure that the required results are sufficiently met. Other important goals would include reaching a specified number of members and ensuring the establishment of a good relationship among the stakeholders.
According to James P. Reber, planned events have seven important elements that ensure their success. The adherence to these seven elements makes an event a success. In most cases, planners who fail to plan effectively plan to fail. When a planner prioritizes publicizing than planning on the efficiency and effectiveness of the event, the planner's execution might backfire. The planner should understand the mission and goals of the event as well as plan adequately on the possibility of change (Getz, 2007). It means that a successful event should be well planned according to the time frame available and the resources. Over estimates or underestimates are not a good planning strategy. When planning, the planner should bear in mind the required emotion of the event in order to include relevant emotional moment.
Planned events are becoming popular as a source of profitable activities worldwide. From simple wedding ceremony to large international events such as the world cup and the Olympics, planned event have been the defining term for modern events. The profitability of an event depends with its magnitude and importance (Allen, 2002). Due to the increasing need for event planning, planned events have become a thriving income generator to the planning and executing team. The event management and planning industry has grown to become an important sector that is attractive given the number of events carried out in the modern society. The society has evolved, and people are so much occupied with many things such as workloads, job and business commitments and family matters to have time to plan for their events. In that relation, event planning businesses boom as the market for business and social events increase with nobody available to execute them. Additionally, event planning requires professional with sufficient experience in the discipline to plan major events such as national and international summits and international sports.
Event planners for small scale events such as a family or college come together or large scale such as the Olympics make huge profits. Event planning as a business entity on its own maximizes profits by ensuring the cost of planning is less than the real price (charged) of planning. Event planner of major events is responsible for the theming, management, health and safety and the realization of the event objectives. Planning mega-events like the world-cup, the Olympics and other governmental and non-governmental organization event is profitable. For example, planning a United Nations Summit is profitable for the planner (Van & Carlos, 2005). The planner generates income directly and indirectly. When a planner conducts the planning of a major event exceptionally, the chance of obtaining the tender again is high. Additionally, it increases the chances of the planner to secure other tenders with the same or different company. It means that; therefore, such events create a stable market for the planner.
In conclusion, events are of different purposes and scale. The main aim of a planner in an event is to ensure the purpose of the event is effectively, sufficiently, and timely met. The planner is responsible for the activities that take place in the event including but not limited to providing the events schedule, health and safety of people and property and catering services. Planned events are a source of income considering the growth in the event planning and management business (Van & Carlos, 2005). The application of event planning in small scale events such as wedding and family come-together and large scale such as national and international summits and sports activities have contributed enormously to the profitability of event management industry. Worldwide, planned event are an important source of income and creation of a positive business reputation thus opening other sources of income.
