The given scenario mentions that a famous hotel operating in the capital city wishes to reinvest its funds into a nearby large city. We as a team have been assigned that task of land acquisition, refurbishment and opening up of the new hotel branch. The task is quite challenging as we need to manage all our resources including financial, physical and human resources such that the best output is obtained and the project goals can be achieved. There are several steps involved in the completion of this project which will be discussed in the sections below
Legal Requirements
Firstly, all legal documentation needs to be prepared from land acuqistion to furnishing to operations so that no confusion occurs during the course of the task. All contracts will be spelled out in this step directed at manufacturers, suppliers, dealers, marketing and advertisement agencies and tax departments.
Finding the right location for setting up of hotel is significant. In order to attract tourists and visitors to choose our hotel for staying over or carrying out meetings, conferences and events, the location concern has to be primary. Customers will prefer a location which is not very far away from airport, bus stops and railway stations as it would shorten distance and fare would be saved. The location must not be too crowded otherwise customers seeking peace and concentration will never choose to stay at our hotel. Presence of other hotels in competition should not be discouraged as it will make the hotel management fine tune their daily operational goals and long term strategies on regular basis so as to win the war of staying ahead than the rest. It is not necessary to find an open land and construct the building from scratch- an existing hotel can also be chosen as prime location and refurnished to achieve desired appearance.
Requirements for Construction of Hotel
Whether a new building is to be constructed or renovation is required, the project manager has to be clear about what the owners expect from him in terms of design, look and interior decoration. The choice of construction company must be done wisely and the rates they quote must be in harmony with those offered in the market so that any unnecessary costs can be cut down and budge be controlled. It must be specified that the hotel must not be too huge but big enough to accommodate twenty five to forty or more rooms. The hotel must have a swimming pool, a health club, two or four lawns to support events, conference halls, meeting rooms, badminton court, open terrace, roof top sitting area, lobby, car parking, laundry rooms, kitchen, dining halls, buffet rooms, coffee and pastry shop etc. The architect must design the hotel by keeping into view the area, image of the hotel, theme of the hotel and the philosophy which will be reflected in its quality construction.
Milestones
Lester (2014) suggested that it is very important for the project manager to jot down the tasks required for the completion of the project and then define the amount of time it would take for fulfillment. Milestone make very important component of any project because without milestone, the project would never be organized the completion time would be undefined. Against every task, the project manager would mention the duration for its completion and communicate it to the concerned team members and provide necessary guidance for effectively and efficiently attaining it. When one milestone is achieved, the project will move on to the next task and so on. Gantt charts can also be used to schedule activities so that planning is implemented successfully (Field, Keller, 2007).
Work Breakdown Structure
Spelling out tasks is as significant as breaking down tasks into simpler and achievable units. Work breakdown structure of WBS is an important part of project management. When tasks are divided into smaller portions, even the most complicated of projects undergo successful completion and implementation (Norman, Brotherton, Fried, 2008). .
Team Coordination
In every project a team of specialized members work together to attain desired goals. For the successful completion of hotel project, a team of seven to ten individuals will be employed and each member would be looking after a certain area. For instance, an interior designer will take up the task of furnishing the hotel with luxurious style items while adhering to the core values of the hotel. The architecture will ensure that any flaws in the construction design are eliminated timely. The marketing specialist is assigned the task of creating awareness about the hotel and the luxury and style it offers to the customers while ensuring that long term customer relationships are created. The task of coordinating all functions of team members in a way that there remains coherency in the entire course of the project and overall goals are met with success.
Monitoring and Feedback System
In order to ensure that all the tasks required in the completion of hotel opening go as per the plan, continuous monitoring is done by the project head-feedbacks are also provided to the team members so that in case any task is not running smooth, it can be fixed timely and any delays in the project can be prevented. Use of project management software is encouraged so that the activities of planning, organizing, leading and controlling can go in line with the project goals and aims (White, Fortune, 2002).
