Just as for an interview preparing answers to possible questions and getting information on the employers is the preparation for an employee, job analysis is the preparation that an employer has to do for a job. The fact that it determines duties and skills for a job is sufficient to understand that it helps the HR manager in numerous ways.
A job analysis involves collecting information in work activities and human requirements of a job. This entails the duties that would be required and the traits relevant for those duties. When such information is clearly defined, employers and employees both have a clearer picture of what type of a person would be suitable for the job. During recruitment, based on those duties and requirements the employer can test applicants and hire the best fit.
Other types of information that a job analysis provides are job context and machines, tools or equipment if any will be used. Compensation is determined by the difficulty and ambiguity of the tasks that are to be performed and this is clearly defined in the context in which the employee operates. From this information, judging by the challenge that the employee will have to face, a fair compensation package can be derived.
Performance standards and human behaviors are also stated in a job analysis and these two pieces of information are vital for a performance appraisal. An employee is evaluated in comparison to set benchmarks and it is easier for an employer to judge their subordinate by referring their performance to the standards set in the job analysis.
Although a job analysis is prepared before a job, it stays useful for the entire lifetime of the job itself. Employees and employers both can be aided by the analysis for their respective interests and this should highlight its importance in the organizational context.
