Management of Projects, Processes and Systems to Develop Business
Management of Projects, Processes and Systems to Develop Business
Introduction
The key to success in any particular business organization tracks back from active management of Projects, Processes and Systems since a proper continued guideline in the operation of the transaction in the institution builds up strength and more vigor for it to proceed. For an organization to successfully accomplish their goals and objectives in business, several key areas need an acute and though study. These areas are project management, management process and management of the systems in the organization. Young (2010) shown that proper management of the systems in the business organization draws more customers to the organization and increase the benefits realized. The recognized benefits develop the business organization economically, therefore, its success. In relation to Branson (2008), for an organization to thrive well in business, information and communication systems need a keen look and attention since it plays a very vital role in the exchange of messages to facilitate the trading activities within the business.
Management of projects
Proper management of all the projects put forward by an individual business organization becomes the key to success of the transactions of the processes in the organization. Management of the projects properly covers the whole track of the processing activities to awareness of the benefits in the organization. However, several processes need special attention, and the appropriate following of the different procedures in the management of projects lead to the realization of enormous benefits, therefore, its success. Lock (2007), Patel (2008) and Richman (2002) proves that management of projects in an organization calls for skills from the staff. Skilled staff works timely and effectively towards the success of the business organization by providing quality reports. Planning and managing of the projects results to provision of quality reports.
For a successful management of projects in an organization, several steps need proper attention and attendance. The steps are the procedures for the efficient and successful organization.
Agreement on the precise specification of the project (Terms of reference)
It is commonly referred to terms of reference of the project since it aims at setting the key objectives and the goals of the organization. Lock (2007), explains all what the project aims at achieving, the criteria to follow, the budget and the obligations for the project. The project terms of references are laid down or selected by the project sponsor who is appointed by the project manager. According to Patel (2008), a small study goes on, therefore, to explore and provide results for the required necessities for the project. The drafted details of the project need a discussion from the team members to prove the appropriateness of the project put forward, therefore, scope of the name agreement on the exact specifications of the project. The team members have a sitting for the discussion on the understanding of the specifications for the project and the objectives put forward. It creates a good start for the project since all the team members familiarize with the aim of the project and the necessities to use during the project to the expected results.
Project plan
Planning of the activities in the project and the respective stages builds up and equips the project. The plan of the project works backwards from the already written aims and objectives of the organization. Having the required necessities for the project successfully allows the realization of the ongoing task. For example, suppose the team carried out a research project on own advertisement methods. The team requires several essentials such as computers, the projected customers and other useful equipments to assist the project. Richman (2002) gave a report that certain questions to help the project get also discussed in this stage of the project management. The questions ensure that the targeted part of the project covers the proposal of the project wholly. The project planning runs along well with other tasks in cases of a complex project. The project plan aims at proving the sensitivity in the project at and to realize the benefits for the project put forward to the team to carry it on.
Project communication among the team
The project communication among the team serves two purposes in success of a business organization. Hoegl(2001) and Gemuenden (2001) said that discussion of the project plan to the team points at what goes on in the project, to obtain essential and vital support, to agree and phrase commitment in the ongoing project. For complex projects, it involves a team ready to work thoroughly despite the conditions. The accountability of the team is clear whenever a particular stage of the project passes. Views from all the other team members count to the project's success and, therefore, useful to the business organization. Communication, co-operation and involvement of the team members make achievement of the research on for the project hence the success of the business organization.
Delegate and approval of project actions
Delegation in this matter refers to the allocation of each set of task to a particular group of people, say two or three, to accomplish the tasks for the project smoothly and efficiently. There is still an agreement after the delegation of the activities for the project. The agreement covers the discussion on the suitability of the people allocated for an individual task to easily cope with the project and provide favorable and reliable results thereafter. The delegates set for the prepared tasks accordingly and in each group of the representatives, there is a leader to write the findings and the report on the performed tasks of the project. Patel (2008) proved that the purpose of this stage aims at involving every member of the team and setting the work easy since there is an equal distribution of tasks. The continued fully support and cooperation of the team members set the organization to the realization of the set task.
Enabling the project team
Enabling the project team is made possible and successful by managing, motivating, informing and encouraging the team members when carrying out the ongoing project with vigor and enthusiasm. The management of the team by conducting several meeting in the course of the research makes it possible and easy for the team members to put forward the issues affecting them and addressing them appropriately. According to Hoegl and Gemuenden (2001), helping others in making decisions from the done research on the project initializes the motivation and the urge for them to continue with the research to gather more materials. The following several aspects of the project by frequent and proper communications enrich the projections of the ongoing task. Use of significant conflict management techniques reduces the probable problems that may even lead to stress when carrying out the project. A team that is happy and in position to tackle the project always provide positive results to the organization that is helpful and much of importance to the success of its business.
Reviewing project performance
Completion of the project
The completion of the project takes several tasks such as reviewing, reporting on the project and giving praise and thanks to the team that coordinated entirely to make the project a success. The team members should ensure what happened and why it had to happen. The mistakes and the failures of the project get addressed in this stage, and a report gets written as per the findings and the discussions carried on by the project’s team members. Research by Richman (2002) proved that the reflection of the realistic findings to the success of the project accomplishment also portrays its role in this stage. The report written covers the observation, the studies and the recommendations of the project done. The detailed information given by the report becomes very beneficial and of great importance to the business organization.
Follow up activities
The follow up activities involve supporting, measuring and reporting the project’s results and benefits and of the project. The follow up activities also aim at discovering the costs spent and the benefits achieved after the carrying out the project. The project management also includes the changes management in the organization since some rectifications in the processing activities of the organization need rectification to enhance its growth and development hence the success of the organization.
Management of processes in an organization
There are the methods that help in structuring, investigating, analyzing, decision making and communication in the organization. Examples of management processes include; expense and capital planning, talent planning, strategic planning, products planning, performance management and the planning of all the costs management accounting. The aim of management process is to make sure that a consistent and disciplined approach in the decision making and the analysis of the organization. Management of processes facilitates use of logical processing that is consistent and favorable for the success of the business organization by the objectives set by the firm. The budgeting process of the organization gets based within the financial market policies that do promote a wise investment. Motwani, Widom, Arasu, Babcock, Babu, Datar, Manku, Olston, Rosenstein and Varma (2003) proved that product planning focuses on both creation of the customers’ value and realization of benefits of the products provided by new investors of the firm. The management processes are a support to management judgment and not a replacement for the decisions made in the firm. These processes characterize the development of expectations and guidance to provide light and the future assumptions of the economic growth of the business organization. Jeston and Nelis (2006) wrote that wise managers use the management process tools as; the inputs in the decision making of the business provide critical benefits for the organization. For example, in most towns, hotels and restaurant comes at a time and vanish with time. According to Durkee (2006), several reactions in accordance to control of processes in the organization explain this situation by offering valuable services, being customer oriented and performing accounting budgets. Through this, business organizations succeed well and successfully achieve benefits to enhance economic growth
Management of systems in an organization
It is the framework of the procedures and processes that ensure an organization successfully perform the set tasks to achieve its development. According to the management system, the set goals and objectives of the system tackle the task appropriately. For example, an accounting and budgeting management system tackles all the financial responsibilities and carries out the budgeting activities in the organization. Mackie (2004) phrased that accounting and budgeting system performs all the arithmetic calculations of the organization that mostly involves calculation of investment inputs, outputs and the profits realized. Alavi and Leidner (2001) later found that these management systems provide a way to set up and perform all the required transactions in the business organization. The development of the organization entirely relies on the management of all the systems of the organization. Laudon K and J (2002) researched and noted that the application of the effective management systems results to efficiency of more resource usage, improvement of the risks management and the increment of the organization’s customers since they get the expected commodities and services. Research done by Cumberlidge (2007) shown that continued improvement of the available management systems produces the expectations of the future advancements of the business organization. For instance, an efficient information system favors the fast and reliable digitalized processing of all the transactions in the organization. The study by Christianson, Cochran, Spohn and Ivan (2009) shown that operational and efficient information systems leads to a majority of the other systems relying solely on it for their processing activities such as the budgeting and the financial controls.
Conclusion
For a business organization to successfully achieve the goals and objectives in the organization, several strategies must be followed accordingly. These are the control of processes, management of projects and finally the management of the systems. Having a reliable information system support the business in that it does the processing tasks very fast and, therefore, making the understanding of the benefits fast. Communication in the organization facilitates interactions that lead to effective co-operation among the team members to join hands and form a business organization. From Bolton (2004), the quality of the services offered relies on the efficiency of the management of the processing and systems task in the organization. Successful information systems track the processing activities in the organization, analyze them and do not only give the results to the task but also projections of the benefits to realized. Abrams (2003) clearly put that the management of the projects in the organization forms a backbone for the developments of the organization. The management of the projects requires all the team members of the organization since they have an insight of the processing activities of the organization and the expected future benefits. For example, some factors in the business need a keen consideration for a successful organization. These factors include identification of the business competitors and the services that can attract an increased number of customers to the business organization. The discoveries of the services offered by the clients build up a way to better the services offered by the institution in order to defeat the competitors and strengthen the institution. However, the strategized approach to the management of projects, managements of profits and control of the systems in a business organization promotes the economic growth hence making it advantageous.
