Google Apps
Google Inc. offers these office programs to enable people to share information and connect to one another. The Google app package consists of email, word, spreadsheet, presentation programs and calendar. The first advantage of Google apps is the ease of use. It allows users to share information automatically to their counterparts in a workgroup by single login. The second advantage is that Google app is free. It allows ten users to connect and share after which it is charged for every exceeding user (Rutledge, 5). However, this tool requires internet connectivity to function. It implies that Google app cannot work in places without internet connectivity. The second disadvantage is that the single-source nature of this tool makes it prone to compromise in case of server outage. This weakness can affect information shared when an intruder compromises the system.
Office 365
Microsoft Office 365 tool allows data back up and security. Office 365 has a team of engineers that are mandated to host the software. In case of data loss, the back systems allow lost data to be retrieved. The security system in the cloud prevents malicious access of data by authorized persons. The second advantage of Office 365 is that it allows installation and management of complex software systems (Wilson 7). However, Office 365 utilizes network and bandwidth. This functionality implies that Office 365 cannot work in the absence of internet. The second disadvantage is that Office 365 allows someone else to host data. The Microsoft data centre is usually responsible for hosting data.
In a law firm with 20PCs, the Google Apps is recommended since it allows sharing of information across workgroup on ten users. Its cost-friendliness makes it suitable for modern day office work. Unlike Office 365, Google Apps allow office users to host information shared.
