Project Overview
AnalyzeThis is a company that is involved in the business of data collection and data analysis. As the business is highly progressive, therefore, the company plans to expand its business by adding two more floors in the company’s building. The reason to expand the company is that the company has estimated that its data warehouse is expected to grow by 20% every year which needs to be properly handled in order to be competitive in the market. The main aim of the company is to increase and enhance its operational systems, databases, and infrastructure. In addition to it, the company also requires a powerful security system because the loss or theft of data can be a major issue for the company and can lead to the elimination of AnalyzeThis from the market.
Background including current process
The business of data collection and analysis is progressive and the company AnalyzeThis needs to expand its operational activities in order to remain competitive. The project is to increase the company’s operational system, infrastructure, databases, and security. The current processes of the company include the web analytics which helps the employees of the company to gather data. The completion of the project will clearly define the goal of the project that is to assist the company to store more data and build a proper infrastructure for its growth. The project will also maintain the data so that it can be used multiple times by different employees of the company. Information Technology (IT) plays an important role in the project as it helps the operational system of the company in the processing of the daily transaction.
Scope
Scope of Project
As the project is for the expansion of the business, therefore, the scope of the project have some main areas that are essential to be considered while making this project. The main scope of the project is its operational system, databases, infrastructure, security, data mining, SaaS, cloud computing, and e-commerce.
Operational system In order to improve the operation system of the company, new data gathering systems will be implemented in the company that has an ability to gather and store a large amount of data and keep it protected.
Databases It helps in capturing and analyzing the data and allows interaction with the user and other applications. The analytic database will be used to store historical data.
Infrastructure The company will use interface infrastructure to organize the controllers and storage disks. The company will offshore its technology infrastructure because from the analysis it is more cost effective.
Security The company will implement data protective software to secure their data from loss or theft.
Data mining The software of data mining will also be implemented to enhance the operational system and databases of the company.
SaaS SaaS is a software application that is run by a third party vendor. It will reduce the load on the company’s system and database as all the data will be stored in the vendor’s data center .
Cloud computing Cloud computing is used to store data and run applications. It improves the infrastructure and database of the company .
Testing The software will be tested before making it fully functional.
E-commerce E-commerce will be introduced as it is required to make the internet transactions faster giving a competitive edge to the company.
Constraints and Assumptions
The major constraints that are identified in the project are the proper implementation of the software. It can be difficult for the company to implement the software as they are different from the software that is currently used by the company. Another constraint is that of the budget as the company is focusing on implementing different software that will improve the operations and increase the storage of the company's data. The cost of all the software is too high. Therefore, funding for the implementation of the software must be done properly.
Risks
The company faced several risks during the progression which had a negative impact on the project. These risks are mentioned below.
The biggest risk factor for this project was the time constraint. As the company had to implement a couple of software, therefore, it is very necessary for the company to ensure that the entire work is completed within the specified time of 18 months.
The decision-making a part is also a risk as the company needs to figure out the software that can be implemented to ensure the growth of the company by 60%.
Security of the software and data during implementation of the new software is also a big risk as during such implementations and sharing of information data can be lost.
The company faces a risk of cost. If the project crosses the amount estimated for the project, then it will be difficult for the team to continue with the project until they have approval from the CEO.
Scope Control
The scope control addresses the changes that can take place during the project. It is noted that there are several risks involved in the project which mean that there are chances that the project may deviate from the initially defined plan. There are chances that a new and more effective software comes in the market which is able to resolve more problems that the company is facing. The costs of the software are estimated, and therefore, can be changed during the project. For all the possible changes that can take place in the project, the CEO of the company will be informed beforehand. All the changes made in the initial plan will be implemented only after the approval of the CEO.
Relationship to Other Systems/Projects
AnalyzeThis has 20 employees out of which four employees are from the IT department. There needs to be a proper flow of communication in the organization which will positively affect the company as all the employees will be aware of the changes that will take place. As the project include a number of deliverables and during this project, the office will remain open, therefore, the company needs to develop proper communication practices. The entire staff will be informed about the changes that will take place so that the work is not affected to a great extent. The employees in the IT department must be informed so that all the data can be properly stored and properly protected.
