One of the main objectives of the city government is to make sure that there is an efficient and effective strategic planning process for further development of the city and ensure smooth flow of services. In addition, ensuring that there is effective teamwork which have shared visions, missions, sense of direction and objective is critical as this would bind the team for the common objective. The values and motives of the society in the city also play a critical role in enabling building of teamwork.
It is important to note that the City of Kelsey is ranked first among the cities and towns incorporated in the northwest valley. This makes it one of the most sought after place for families and individuals to live. In addition, the city population is increasing rapidly. There has been concern about the increasing scarcity of the water supply. This calls for a new city plan and development, which should be implemented. However, it also requires effective communication from the leadership of the city, which includes the city official and the mayor. As a result, the city planning process should begin by ensuring that they pursue the best interest of the city inhabitants.
There are various methods that can be used by the mayor to build a good teamwork relationship, trust, corporation and coordination among the city employees. The first and most important is to ensure that there is effective leadership in the team to lead them towards the vision, missions, and goals of the city management organization (Cohen, Eimicke&Heikkila, 2008). Having an effective leader, it will ensue that there is sense of directions and they will all have a shared visions and missions that would have them seek to reach a common objective. This means that a common course spearheaded by an effective team leader will ensure that the team is united and working together towards the desired goal.
Employees can work, as a team is they trust each other. Therefore, building a strong trust and support among the members is crucial. This can be effected by the team leader who would ensure that there is regular team building that would help in events such as team picnic and encourage brainstorming. These events are important because the team members are able to socializes and know each other at a personal level thus building a strong bond between them.
Communication is an important aspect in any organization. communication among the employees in the team is important which can be done by the leader through both formal and informal channels. Effective communication brings about cohesion and understanding among the members of a team. It also ensures that there is smooth coordination among the members of the team (Hackman & Craig (2009).
It is also important to ensure that there is clarity of roles and duties of every member of the team. This ensures that the team members have a sense of responsibility and accountability thus avoiding the possibility of conflict and overlapping of the roles. This would also give the team members direction and help them manage their own time to achieve their objectives. The team leader should reinforce adherence to the values, goals, and mission of the team to make sure that they keep focus. This is effective if the individual goals of the team members are aligned to the organizational goals.
Motivation is another important factor that can help employees to work as a team towards the organizations goals. There are two types of motivations, which include intrinsic and extrinsic motivations. The intrinsic motivations come from the inside of the employees as they find satisfaction is attaining the organization goals. These workers are self-motivated because they are doing a job of their passion. The other form of motivation comes from the external factors which include rewards, pay rise, improved working conditions and other incentives. Motivation can be done for an entire group or individuals based on the goals of the team. It is the role of the leader to ensure that the working environment is flexible and empowering to the team members.
Communication Factors to be considered
Communication is an important factor in all levels of an organization. It is important for the leaders to communicate effectively and efficiently with the stakeholders in the city. This would ensure that the stakeholders could trust the leaders as they disclose the activities that they plan to undertake. The city of Kelsey stakeholders are the citizens who should be provided with adequate platforms where they can express their opinion and views. For communication to be effective, it should be clear, timely and giving truthfully and verifiable information which gives the actual status of the activities being undertaken by the organization(Hargis,Wyatt&Piotrowski,2011).
If tax issues is not communicated effectively in advance, the decisions to adjust upward may not be taken kindly by the people of Kelsey which may lead to protests against such attempts. It is important to incorporate the citizens in the decisions making and communicate effectively deliberations made by the organization. This means that public forum must be help to add the people input on the decision which would make the stakeholders in the city part of the decision making process.
Leadership Methods to Motivate Stakeholders
For the stakeholders to feel motivated and part of the city’s decision making process, a transformation, /participative leadership is required. The transformational leaders always work to enhance the stakeholder’s motivation and ensure that they are engaged towards the vision and mission of the organization. This would ensure that all stakeholders take part in the services and development of the city.
Addressing Inadequate Performance and Maintain a Productive Organizational Structure
Inadequate employee performance is detrimental to the organization performance. This can be addressed through unearthing the reason for poor performance. After gathering the reasons, it would be prudent to act accordingly in line with the organization goals and abilities. In most instances, motivation is required to trigger enthusiasm among the employees. Bad influence and inciters can be handled effectively through forced leave and eventual lay off with regard to the labor laws. However, it is important to take note of the main cause of poor performance among the employees. The organization structure can be used as a tool for changing the organization behavior. In order to maintain a productive organization structure, it is prudent ensure flexibility, give employee some authority and decision making abilities. This would help the employees to work towards ensuring a productive organizational structure. Therefore, it would require adequate support, empowerment, and corporation from the management. It is also important to decentralize the decision making as this would increase the efficiency and effectiveness of the organization structure.
Conclusion
The citizens of city of Kelsey are the stakeholders and the city Mayor and the management team are required to serve the people who gave them the mandate. The most effective method is through ensuring that the employees are working as a team in order to ensure cohesion of their services. In order to promote teamwork, it is critical that the workers have a team leader who would be able to give a sense of direction to the employees. There are various factors outlined in the study which would ensure that the workers serve the people effectively. On the other hand, the decisions made concerning the people should incorporate their input because they are important stakeholders. The mayor must be a transformational leader who takes into consideration the views of the people. Communication should be effective in order to ensure that the stakeholders and management understand each other. It is crucial to address the inadequacies of the employees in a strategic manner.
