Vacations
Vacations of all employees will be scheduled for the department for the whole year. If there are requests for changes, these requests must be made two weeks prior to the needed date. Approval for vacations and changes in vacation schedules will be done by the employees’ Immediate Supervisor.
Holidays
Those who are supposed to work on holidays must seek permission from their Immediate Supervisor. They ought to fill up a request for overtime form stating the number of hours and the reasons why the need to work overtime on these holiday dates. Requests for payment for overtime will not be entertained unless the approved requests are attached thereto.
Compensation and Benefits
The company has a schedule of compensation and benefits for the position in each level. This schedule of salaries and benefits is reviewed each year by the President together with the HR Manager so that adjustments can be made in the HR budget annually. Also, a schedule of personnel promotions is likewise included in the schedule of compensation and benefits.
Policy on Gifts
The acceptance of gifts by an employee from a third party stakeholder or corporation may give rise to concerns on favoritism and other issues. Technically, all employees are prohibited from receiving gifts more than $ 40.00. Also, if an employee has accepted such a gift, he is not allowed to join in the decision making over an issue wherein the issuer of the gift is included.
Recruitment and Selection
The company is committed to implementing a policy of diversity and equal opportunity when it comes to recruitment and selection. The company is known for recruiting, selecting and training individuals without reference to race, color, religion, beliefs, gender, origin, disability or marital status. Questions on recruitment and selections policies can be directed to the HR Department who will readily provide assistance on the matter.
Rules of Conduct/Disciplinary Actions
The Company maintains its own Personnel Handbook which contains our Code of Conduct. In this section one can find the basic guiding principles for professional behavior while employed by the firm. The main sections of our Code of Conduct govern:
Compliance with laws and regulations;
Conflicts of Interest;
Harassment and Discrimination;
Health and Safety;
Price Fixing;
Bribery and other Payments made to Government officials;
Reporting and Financial Integrity;
Reporting Violations;
Certification (of employees as having read and understood the Code of Conduct);
Company Policy on Travel
All company policies on official travel are included in the official Travel Manual of the firm. The Travel Manual has the main objectives of protecting all employees while on official travel, while they are able to accomplish that work that was assigned to them throughout the travel period. All bookings for flights and accommodations are specified in the Travel Manual, and all official travel must be approved by the Immediate Supervisor before the employee can make a cash advance that must be liquidated after the travel. Paperwork after travel is likewise necessary as the employee has to fulfill a Travel Report, the details of which are included in the Travel Manual.
Overtime Policy
Overtime pay is regulated under the Fair Labor Standards Act as well as certain state laws. The basis of the company’s overtime policy is its formal definition of the working week. Company law states that an employee is entitled to overtime pay of one-and-a-half their regular hourly pay for hours worked in excess of 40 hours a week. As mentioned above, overtime is scheduled and approved by the Immediate Supervisor prior to the overtime period itself.
Hours of Work
The company has defined its standard working week as 40 hours per week, or 8 hours in a day from Monday to Friday.
Dress Code
The company dress code is smart casual. For those performing field work, the prescribed attire will be discussed with them by their Immediate Supervisors several days before the scheduled field work.
Disciplinary Action
Infractions to the laws and regulations of the company may be found in the Code of Conduct as mentioned above, with prescribed sanctions for the first, second and third offenses of each kind of violation.
