MANAGEMENT AND ADMINISTRATION
ORGANIZATION OVERVIEW
This organization is a non-profit online and independent newspaper. This organization deals with the dissemination of information from various regions. We source information from different stakeholders including reliable sources, online researches and interviews among others. From this information, our target groups include various people in the society. We address all issues in the society, for this policy and procedures document, our target groups are our volunteers. They volunteer for work at a newspaper in order to contribute variously towards the development of the society. They also facilitate organizational functions.
INCORPORATION
The incorporation requirements for our organization include the significant stakeholders with influential capacities in the organization. As in the case of our organization, the requirements are such that there has to be corporate underwriting and memberships. As such, our stakeholders include readerships, donor bases and volunteer bases.
Various application forms for memberships in the organization seek to incorporate new members into our organization. We make sure that in our organization, there is appropriate following of the constitution. As such, we have an elaborate legal department that advises us on familiarity, review and changes in the constitution. We also have elaborate dates for annual general meetings. We issue notices for the general meetings and have quorums and agenda for the meetings.
SERVICE MANAGEMENT
Our organization has a service management committee with elaborate responsibilities including working with the project coordinators, involvement in the daily activities of our organization, and other specific responsibilities including legal responsibilities, policy and planning, financial, and staff management.
FUNDING
We receive our current funding from memberships, corporate underwriting, donors and the volunteers. We will ensure that there is financial accountability in the organization by use of the audit information. We will seek to promote accountability and transparency in our operations. We will apply for funds through proposals and requests to these financial key holders. Our strategy for fundraising is through incorporation of our success and assurance of future implications of our programs.
We will also conduct charity programs to increase the funds, and this segment is where the donors play a significant role.
SERVICE PLANNING AND IMPROVEMENT
Our programs of service planning aim to promote continuous improvement in the organization. In order to ensure this improvement, we will seek client feedback by asking them to inform us about what they think are the possible ways of handling programs in the organizations. For instance, we will ask our volunteers through questionnaires and interviews to give their opinion concerning our operations.
FINANCIAL MANAGEMENT
We will seek to manage our friends in order to allow for easy facilitating of the programs we intend to undertake. In order to ensure ample management of finances, we will have the role of the committee, treasurer, administration and officers. We have elemental segments of their responsibilities. We require that they provide monthly, quarterly, and annual reports concerning the finances raised and the uses of these finances.
OFFICE PROCEDURES
We will also have effective office procedures that will enable us to promote the functions in our organizations. These office procedures will include the number of house that individuals will work, building of the keys, the filing cabinet and the storage cupboard keys. Additionally, we will also have elaborate lock-up procedures for our various workers. We will allocate different duties to individuals in the organization including the telephone handlers, filing, mails and outgoing mails. We will keep day diaries, conduct cleaning, and stationery procedures for our organization.
EQUIPMENT
Every member of the organization will have elaborate instructions on the use of equipment for the organization. Every member of the organization will also have all information concerning equipment loans in order to cultivate a culture of protection of this equipment. We will have constant electric checks to ensure that our premises and workforce are free from electric hazards.
We will have periodic maintenance shifts and procedures and allocate every employee a duty to oversee or monitor the protection of the equipment. We will also specify the client equipment in the organization to minimize confusions among the members of the organization.
STAFF MANAGEMENT
The recruitment policy for our organization will encompass conformation to our policies and the constitution. We will also have equal employment opportunities, which will include mostly volunteers because our organization is non-profit. The recruitment process will first involve the identification of a vacant position in the organization. After the identification, we will review the position after which e will advertize the position. The advertising of the position will make it clear that the organization is non-profit and seeks volunteers that will promote our objectives and policies.
After advertising the position, we will set up a selection panel and shortlist applicants. We will then conduct interviews of the shortlisted applicants to determine their suitability in the organization.
SAFETY AND SECURITY
First, we will have developed a safe and secure environment for the volunteers. We will print out safety precautions in the delivery of services. For instance, since we are an organization that deals with newspapers and gathering of information, we will ensure that our sources are assured of confidentiality by not asking for their names or contact information. Additionally, we will seek copyrights or acknowledgments from authors in the case of printing articles.
For the volunteers, we will offer training programs to promote their relationship at the workplace and avoid abusive client behavior. We will also remind the volunteers that they are at liberty to quit whenever they feel that they have contributed enough to the organization. As such, we will assure them of their freedom to avoid misunderstanding among them.
VOLUNTEER MANAGEMENT
Our organization has a volunteer base of 200 and above, the donor base of 12,000 and a readership of 75,000. Our volunteer base is based on the following avenues:
1. Phone Solicitations for Annual Appeal
2. Staffing Booths at Community Events Sponsored by the Organization
3. Check-in and Auction Work at Major Fundraisers
4. Mail Support for all Mailings
5. Street Teams for Community Events NOT Sponsored by the Organization
6. Docent and Tours of the Organization’s New Facility
7. Outreach with Area Grade Schools and High Schools
DISSEMINATION OF INFORMATION
I will disseminate this information to the volunteer base through individual associations, reminders, emails, messages and phones calls. Moreover, I will mention this information through briefs that I will organize. I will also provide avenues like messengers to inform them on the information. The following monitoring procedures will also be proficient: asking for a report from the volunteers, conducting follow-up on the reports, analyzing the reports and giving feedback. I will conduct personal and close supervision of the operations of the volunteers.
