Communication is a many angled process that can be not oral but presupposes the usage of writing skills or it can be even nonverbal.
In this digital and IT century everyone at least once faced the necessity to send an e-mail. And everybody knows very well about the existence of post offices and the so-called offline post. But in any act of communication you are to write a letter and it is the high time to discuss three major steps in this process.
First step is planning. It is worth to remember that planning is good and need everywhere not only in writing (Bovee, Thill). During this stage one should analyze the situation, that is to define the aim of the letter, gather all the necessary information about the audience and information that helps to meet all their requirements and satisfy their needs. After that it is important to select right medium and to organize your information carefully.
Second step is the very writing. Here one should adapt the information, be sensitive to the audience chosen. It is the step to develop the credibility, strong relationship with the audience, moreover, one should think over the right words (The Three-Step Writing Process).
Third step is completing. One should revise the message, proofread it and finally distribute it.
Planning messages carefully will bring fruitful results after the audience gets it (Steps in the Writing Process). Planning is to save time for writing new messages and sending them for the second or third time because of the first time fail.
After having planned the message, the choice of the most appropriate method of distribution is to be dependent on the audience and the speed of delivery. Not all the people have a constant possibility to use the Internet, to check e-mails, as well as not all the people read letters that are not electronic. But the most important thing to remember about written letters that they are individual while is oral communication is often not for one person.
