Communication
Business is all about communication. The smooth and concise communication through the right channel can foster the progress of a business out of its lucidity . The aspect of communication, influences every dimension of trade and business. A manager can enhance the productivity by precise instruction, making the tasks easier and compatible for the resource. The same is the influence of communication with vendors and customers. The ambiguity of information created out of miscommunication have the potential to damage goodwill. On the contrary, the right mode and manner of communication can inflict diversely.
Ideally a work environment practices, communication formally and informally keeping in view the objective or the demand of the task. The Work environment cannot possibly practice formal communication completely or adhere completely to informal communication. I always the balance of the type of communication used that can bring the required changes abandoning perceptions and prejudices.
Let’s consider the choice of communication style apt for a manager or supervisor. I consider the responsibilities of a manager as the most suitable for exemplification considering the sensitivity of information that pass through him. A manager is the one who receives introduction from the management and gives feedback to them back. This aspect demands complete formal communication (Both verbal and written). However, for human resource his selection of the style of communication may vary according to the need and requirement of the situation. For example, the instruction he receives for certain tasks from management is formal and succinct. However, the details which he transfers to the workforce should be simplified enough to meet the capacity of the work force and make the objective clear at the same time. Hence, the attitude, selection of words and style of conversation needs to be highly flexible according to the capacity of an individual to keep the communication simple. At the same time, the responses he will gain out of the mix of formal and informal communication style at work will not only refrain barriers, but also supplement the precision of obvious and hidden concerns for clarity (Sachs, 1991).
Literary readings have focused over different principles of communication for practicing the element effectively in business and also in interpersonal relations. To my understanding, the most important amongst the illustrated is the principle of Clarity. It lends responsibility of efficacy demanding precise and succinct information transmitted with which ever style through the sender. The objective of adding clarity to the communication is supported with the traits of using simple language and a style that is suitable according to the capacity of the receiver. It does not only correspond to words, but also with the tone and posture or gesture while uttering information. In case of electronic communication, the variety of font and use of colors to highlight or emphasize over important points of information. In an effort to bring clarity to the information, the capacity and competency of the receiver in terms of the knowledge level and concept of the receiver should essentially be considered to eliminate any communication gap. I believe that if only the principle of adding clarity to communication can primarily be adopted in the organization than the progress of the company will ultimately be achieved out of transparency and cooperation amongst all the department’s action. I have personal experience of practicing clarity under the illustrated guidelines and have the edge of being the first choice of managers for any project.
