The publication of the sports magazine is done in New York, located in 1335 Avenue in the United State of America. The largest number of clients who read the newspaper mostly includes sport fanatics who are young members of the society. The magazine has catered for all groups of people visually impaired and non-visually impaired by having colored pictures. The current readership of the newspaper is 92% of the distributed paper in the market daily.
The manager at the magazine company tried to use a strategy of involving all workers in making major decisions of the organization. The manager organized monthly meetings with departmental heads. The heads are supposed to set their monthly targets and changes they need made within the organization. The sales department was to provide graphs on sale made on previous period in different regions together with projections on what sales to be made in the current period. Discrepancies in sales that appeared between previous period and current period are explained and corrective measures suggested by all departmental heads.
The manager organized sales groups into groups that were divided according to regions of operations. The sales teams were facilitated by the organization with meeting points and facilities to discuss challenges they were facing in the market. The aim of the meetings among the sales people was to enable them share challenges that they faced in the market. The elder members of the sales team were supposed to coach young members on different ways of approaching the client. The business had adopted an online option of marketing where the magazine company had a website. The website had pictures of the different pages with minimal information on what they entailed. The pictures were to help customers in making decisions if they should purchase the magazine according to the top stories. The magazine company had a call center to receive clients complains and complement on the level of services offered. Complains at the call center were keyed in an online system within the local area network. The person keying complains had to group them according to the department. The departmental heads would work on complains and those that needed collective responsibility among all departments would be solved by the manager. The department heads were answerable to the manager head if there was repetition of previous mistakes under their department.
The strategy of organizing monthly meetings between departmental heads showed success in maintaining tight cohesion among departments. The departments were working together eliminating situations where crisis would appear because of some department not working towards organization goals. Situation would be where the sales department is projecting increase in sales and at the same time, the human resource department is reducing the number of magazines produced daily. Crisis would arise where the demand of the company’s magazines would be more than the supply creating shortage. The meeting among workers at the sales department helped in increasing sales. The increase was attributed to the new tricks and strategies developed by members of the sales group during their meetings.
The management of the magazine company was cooperative and well informed of all activities taking place within and without the newsroom environment. The organization had open office for the different department where the manager could see all the workers because no partitions existed between the manager’s office and other workers. Each office in the newsroom had a notice board at the doors. The notice boards were used to alert workers of meetings and any changes within the organization.
The departmental heads had clear guidelines on workers picking phone calls during working hours. Workers were provided with locations to pick personal calls and they were not supposed to last more than four minutes. Workers were not allowed to use the office phone to make personal calls. Workers who used office phone to make personal calls were charged according the billing rate of the phone company. The strict guidelines and policies on usage of office properties reduced wastage and improved on output from each worker.
One of the days there were scuffles between two workers in the office who happened to be married. The head of the catering department called them into his office to try to negotiate without taking any side among the couples. The workers were handed two weeks break each and referred to a marriage counselor. Two weeks after the workers reported to the office without any quarrels between them. The incidence showed effective management role of the manager.
The practicum period provided knowledge on dealings with crisis within the organizations. The main concerns on the period spent within the magazine company were on the need of online marketing of the magazine top stories. The company manager promised to improve the online marketing by using sites like Face book and other social media websites. The online marketing would include things like selling magazines as soft copies to clients all over the world. The cost of selling the magazine online would reduce the production cost and increase the profitability of the company.
