Introduction
In order to get organized for the international event that will be occurring later in the year, in Chicago, the team of risk management consultant will need to develop a proposal that will ensure they win the bid. The international event World United will take place in Chicago and will consist of 1000 international delegates from across the globe coming together to discuss global issues and challenges. The World United event is expected to bring in over one million customers over the three-day period the event will take place. Among the individuals, attending the event will be international leaders and other prestigious guests that will attend an international conference to discuss world matters.
In a society where acts of terror are a credible threat or there is the potential of a disaster or other types of security threats, especially when a large group of people congregate, the management of this risk is essential. Because Chicago is hosting more than one thousand delegates from different countries their security is essential and if the delegates were attacked or harmed while visiting the United Sates it could create an international incident. The following proposal will explain how to develop an effective risk management plan for the World United event.
An environment that is secure is imperative for a successful event. Thus, it is the mandate of the team of risk management consultants to ensure a safe environment that will ensure they win a bid. To produce a risk management plan that is effective for the World United event, all the agencies from visiting countries should first consult with the agencies in the United States. They should consult during the early planning periods to determine the suitability of Chicago and the venue where the World United event will take place, which is important because world delegates will be attending the event and the event, will entail using or accessing security classified information. An effective risk management plan for the World United event will entail thorough security preparation prior to the event, during the event, and lastly after the event as explained below:
Before the Event
Defensive safety and security must be considered during the earliest periods of event planning, which means that any defensive security preparations should be identified as an element of the event costing. What’s more, the responsible agencies must identify before the World United event any necessity to exercise the event security preparations, whether before, or during the World United event. In addition, the event security officers/ security agents must seek advice on probable threats from the agencies coordinating the event (Blyth, 2008). Moreover, after surveying the venue, the agencies should arrange for the supply and delivery of necessary security containers as well as other security equipments. Furthermore, the agencies should prepare identity passes and event access, any key control measures, and any procedures for visitors' reception and escort requirements, among other important preparations.
During the Event
The event security officers/agencies should liaise with the World United event managers on the issues to do with communications, command, and control. In addition, the agencies have to ensure the security of all the accredited attendees that must include identity verification. The event securities officers/agents should supervise the visitor control security aspects and offer security advice including emergency and security procedures to the venue employees and attendees. It is also important for the agencies to consider carefully if any invited individual such as media representatives are allowed into the event rooms or venue at any time when the World United event will be in progress (Blyth, 2008).
After the Event
Following the World United event, the event security officers, agents must coordinate a detailed search of event rooms to make sure that no agency assets or official information have been left behind. Additionally, the event security officers/agents should submit security reports to the organizers of the event. Lastly, the security agents must report any security incidents, which would occur during the World United event and that would have not been reported.
If the team of risk management consultants will adopt this proposal, the security in the World United event will be ensured. Therefore, the environment will be conducive and free from terrorists’ attacks, and this will ensure that they will win the bid. In addition, this proposal if adopted will set a precedent for future risk management for events involving dignitaries where the likelihood of attack is high.
