Dear Mr Deans,
I am writing to confirm that all arrangements have been made for your visit and let you know of the key details.
The annual charity lunch for the noted guests of the Nanaimo Chamber of Commerce will take place on February 12th and will welcome 50 people – all of them representing local businesses and known for their contribution to the welfare of the city.
We are really grateful that you agreed to make a presentation at this lunch. The event will start with the welcoming speech of the President of the Chamber, Ms Brenda Sully, who will then introduce you to the audience and give you the floor. Please let me know beforehand what kind of equipment you need for your presentation and whether there are any specific technical requirements for it.
On your arrival in Nanaimo you will be met at the airport by Ms Karen Miles, our local coordinator, who will take you to the hotel where you will be offered dinner at the hotel restaurant.
The charity lunch will be held at the hotel venue on February 13th and the registration for it will start at 11:30 a.m., so you will have time to have an unhurried breakfast in the morning and then make any necessary preparations for your presentation. The lunch will end at about 2:00 p.m. and as your flight is only at 6:00 p.m., Ms Miles will be pleased to show you around Nanaimo, which is a very beautiful city.
For your convenience I am attaching the itinerary of your stay to this letter. I would also like to confirm that all arrangements including air ticket, hotel accommodation and meals are at the expense of the Nanaimo Chamber of the Commerce. I hope you will enjoy your stay in our city.

Dear Ms Sully,
This is just to let you know that I have informed Mr Deans about the details concerning his visit, including his flight, accommodation and the event itself. Ms Miles has kindly agreed to meet our guest at the airport and look after him after the event.
I would be grateful if you could give advice on who is going to sit next to Mr Deans at lunch – the tables seat six as you must remember. Please let me know what you think and I will make all necessary arrangements at the venue.
