Executive Summary
The execution of the event began by holding meetings to generate the idea of the event. After the introductory activities of the group responsible for the event, the group began considering potential ideas to make the event a success. Most of the members agreed that the best ideas would be a games night, themed party night, trivia night, or a movie night. The group noted that the most important part of the event was task collection, organization, and continuous communication. However, in subsequent meeting the group considered two main events, a Sunday fun day or a bike ride. The group resolved to hold a bike ride event given that the Sunday fun day was too expensive.
It was important for the group to have a method to raise funds that would help to run the event. Every member was to find a way of raising money for the event. In addition, the group developed a contingency plan in a case where the event could not happen because of bad weather. The contingency plan was to donate all the funds generated from the registration fees to Northcott. The group also resolved that the most appropriate venue for the event was the Sydney Olympic park.
Raising funds for the event encountered several challenges. It was hard to contact the potential sponsors. The appendix has a letter used to communicate to them. In addition, most of the sponsors were already involved in sponsoring other charity organizations like the National Breast Cancer Foundation. It posed a huge challenge in that the event could not succeed without the input of the sponsors. In fact, the sponsors could not help much because they donate a little money and small prizes. Consequently, the organizers decided to target families and friends who would be willing to participate in the event. They embarked on a marketing and promotional campaign to enlighten the people about the event. For instance, the created a “Run to Raise” Facebook page.
Conceptualizing the event indicates that the aim was to raise at least 1500 dollars. The group would achieve the target through registration fees, chocolate sales during the event, corporate sponsorship, and fundraising. In fact, the targeted revenue could be achieved easily because the group diversified the revenue channels reducing pressure on the main event. Another financial objective was to ensure that the expenses did not exceed half the amount of the total revenue realized.
The simplicity of the event meant that the costs would be minimal and easy to identify. In the end, the group aimed at holding an enjoyable event for all members of the community, without discriminating their age. Carrying out SWOT analysis of the event enables the group to analyze the event very comprehensively and work on eliminating the potential weakness.
Recommendation
The group should develop a variety of activities within the main event. For instance, they could create cycling competitions within to make it more interesting. It should also provide time for contingencies like short breaks to make people strong enough to participate in the whole event.
Conclusion
It is important for the organizers to consider the role played by good management of logistics and resources. It will help them to achieve most of the objectives stated in their mandate to hold the event. Distributing roles among the various members of the group is important because it improves their ability to manage the event.
