RE: RESTRUCTRUING OF INSTRUCTIONAL PROCEDURES
I am writing with reference to the recent incidences that have led to some misunderstanding on the functional operations involved in the flight operations.
First, I would like to express my sincere apologies for the miscommunication that have contributed to the inconveniences and the errors that have led to disruptions in the functional operations of the firm. My team and I take full responsibility for the miscommunication and failure to update the relevant authority on the major changes and context of our operations as Flight scientists.
My team and I are taking the necessary measures as per your expectations to ensure that everything is restored and that the firm is back on track to achieve its objectives and goals as stipulated in the company’s policies.
I believe that we can still work our way forward through understanding the context of the field since to a greater extent, it is only through a collaborative approach that we shall be able to bring functional parts together and identify the areas that could be limiting achievement of the standards established. It is with no doubt that we are all focused on giving the best for the firm and ensure that esteemed customers achieve the greatest satisfaction from the range of services offered.
In light of the above, we have decided to have an audit of the areas that could be leading to misunderstanding and we are also designing interventions to ensure that you are provided with weekly reports on the progress of each functional department and the key areas that need improvement. This is to ensure the firm is on the right track to achieve its business goals and objectives. By taking the measures identified, I believe that our relationship will continue being one based on the values of mutual trust as engrained in the organization’s corporate culture with conflicts amicably resolved.
I will contact you as soon as you have gone through the recommendations to discuss your view on the proposed changes. I am also available to respond to any queries that you may have regarding the proposed changes.
MEMORANDUM
Following the events at Highway Travelers, I would like to clarify what transpired such that there was persistent misunderstanding with the Chief Operations Officer. Professionally, the issue arose probably because of failure by the COO to understand the nature of the tasks involved in the field of Flight Science. As a field that requires higher precision technically, it is impossible to have things done in a hurry. There were occasions where adherence to protocols led to delays that made the Chief Operations Officer to feel that enough was not being done to improve the current situation.
However, the matter has since been resolved with a report provided to the COO to make him conversant with the functional aspects involved in Flight operations and the reason why certain protocols could lead to slow down in the operations. Measures have also been taken to improve communication with a recommendations report on the need to provide weekly reports to the management at highway Travelers so that it could analyze the weekly situation and be able to involve my team and I in consultations on how to improve the overall functionality of the business to meet the needs and expectations of customers.
As part of the company, I am committed to sustaining the friendly relationship that has for years been in existence between Highway Travelers and Fight Logistics Agency.
I also recommend for you in your capacity as the Managing Director to have a joint meeting as we discuss ways through which transactions could be based on mutual trust between the two firms with need to solve any personal differences.

As our corporate social responsibility suggest, the community looks upon the firm to improve the situation in the dwellings. The firm therefore invites everyone to participate in a cleaning exercise on the first Saturday of May in efforts to promote conducive environment for the community to dwell in.
The cleaning exercise will start at 9.00 in the morning and is expected to end at 12.00 in the afternoon for other corporate social activities to take place. Since the community members will be involved in the process, we hereby request for financial assistance that will be used to purchase refreshments and snacks that will be taken after the cleaning exercise as we bond with the community and discuss the ways through which their conditions could be improved by the company. There will be sports and other recreational activities that will take place after the cleaning process as we bond with the community.
