Introduction:
Recently in our class of Management studies we had talked about 4 elements of Management. Those are Planning, Leading Organizing & controlling. As our final project, we got an opportunity to organize a seminar. The class was divided into groups, and we were responsible for arranging the seminar as well as organizing it. So we had invited a Project Manager from a famous telecommunication Multinational company who had talked about importance planning in an organization. During the preparations for the seminar, our group had experienced and realized quite a lot of loop holes in the way we had planned the event. Which had helped us learnt already how was important planning was, but the speakers lecture had added spice to it.
Body:
Before we had attended the lecture and heard a speaker talking about time management, we found lousiness in ourselves in planning anything. Feeling unnecessarily relaxed about how to do something and when to do it exactly was ignored by us.
- Defining projects/organizations goals and objectives
- Making deadlines
- Distribution of responsibilities
- Giving priority to particular activities which are most important
Now if these things weren’t to be done in an organization the employees wouldn’t be able to achieve success. So firstly, he spoke about Defining goals and objectives for an organization or a particular project. If the goal wouldn’t be set or an objective that a particular task has to be done, how would the individuals make an effort in the first place to achieve something? They would be completely blank regarding why are they working on this and what would they gain by working on a particular project or performing a particular task.
Secondly he talked about setting up deadlines for certain goals to be achieved. Setting deadlines would basically involve time management as a factor to it. A goal could only be achieved if an individual or a group were conscious of the time limit they have to complete that certain task. If they didn't, they would stay lousy and leave the work on pending.
Moreover, how well the responsibilities are to be distributed amongst the members was talked about. Such as the more difficult tasks should be given to the people who are more efficient at doing tasks effectively while the comparatively easier ones could have been handed over to the people who are not expected to handle the difficult task efficiently.
Furthermore, while planning an event the speaker had guided that giving priorities to which tasks are to be performed first and which ones later are extremely important. Forming a sequence of things would make the tasks easier for the employees to perform.
Conclusion:
The four things that the speaker had talked about gave me such a positive exposure, that I think now I am capable of working in any organization at a top notch post and perform duties related to management in a useful way. The exposure to one of the functions of Management in such depth had given me an insight of what an organization would expect of me when I’ll work for them and how I am suppose to manage things. Thus, it had left a positive impact on me enhancing my knowledge regarding planning as a function of Management.
