The main aim of this memo report is to give the progress made so far on addressing the issue of staff shortage at the Mackenzie Health Hospital, especially on the weekends. The main issue with the staff shortage lies in the Linen Department at the institution.
The target group or the defined audience for my report is the staff members allocated to the Linen Department over the weekends. From the analysis carried out between the 1st and 31st of January 2012, it was found out that the hospital suffers from shortage of staff in the Linen department on the Saturday shift which runs from 6 A.M. to 2 P.M. it so happens that there are less people to deal with the high demand for the linen within the institution, leading to a major hitch in the operations of the health facility. This calls for an urgent intervention.
The main problem is from 6 A.M to 9 A.M on the weekdays, the institution suffers from a serious shortage of staff in comparison with the output expected. As such, the different sections in the facility that need the cloths and other linen tend to be slowed down. In as much as the few personnel on duty might do their best to keep the business running, they tend to be overwhelmed by the responsibilities and they end up not delivering as expected.
The long report will look at how this problem can be addressed. Already, the problem has been identified and the main area of weakness is known. As such, all that is needed is to come up with a solid plan to effectively address this issue. After looking at the facts as they are on the ground and conductive intensive information seeking, the report will recommend to the management of Mackenzie Health Hospital as to what can be done so as making sure that the problem is resolved and does not recur. This process calls for adequate planning and implementation of an intervention strategy.
Some of the details are as follows. First of all, there will be the need to look for information about the management of a health facility and the departmentation. This will help in knowing how the staffing can be done so as to make sure that there is no hitch in the operations of the facility. A survey will then be carried out among the employees in this department. The aim of the survey will be to find out whether they have any recommendations as to how they think the scheduling should be doe so that there is no shortage of staff. Their inputs and recommendations will be an addition to the information gathered as with reference to the intervention. Lastly, there will also be an interview with the head of personnel or human resource. This is mainly because this is the person who is in charge of making sure that all the departments in the institution are well staffed and that none fails to operate for whichever reason. The main aim of the interview will be to find out the current strategy used in hiring and allocating employees into the Linen Department. This will form a basis from which the report can be written as it will focus on improving the process of employee allocation to the different departments. The final stage will be designing the intervention strategy and implementing it within the institution. Hopefully, this will help to save the situation at the facility.

Such a process as the one indicated above calls for lot of input in terms of time, energy, skill and resources. However, the outcome is of a greater value as it would solve a major problem within the health facility. The suggested courses of action should comment immediately so as to ensure that everything is accomplished in time and the problem eliminated. It is for this reason that I sent this memo to you so that you can give your advice and recommendations on the same. I am ready to incorporate any recommendations into the plan and roll out into business. At the end of the project, I intend to have a well prepared report giving recommendations to the HR manager at Mackenzie Health Hospital as to how the problem can be addressed.
